Table Structures & Column Details

Time Log Sheet (Main Data Entry)

This sheet contains a table with the following columns:

Date Task Name Description (Optional) Start Time End Time Duration (hrs:min) Category (e.g., Work, Meetings, Breaks) Status (Completed/In Progress/Pending)
2024-04-01 Client Proposal Drafting Finalizing design layout and content for client A. 09:00 11:30 2:30 Work Completed
2024-04-01 Email Follow-Up with Sales Team Sending reminders for pending demos. 14:00 14:35 35 min Communication In Progress

Data Types & Formulas Used:

  • Date Column (Date): Text or Date format; auto-populated via day selection.
  • Task Name: Text input — should be specific and measurable.
  • Description: Optional free-text field for context.
  • Start & End Time: Text fields formatted as "HH:MM" to allow manual entry or auto-fill from calendar integration.
  • Duration (hrs:min): Auto-calculated using formula: =TEXT((END_TIME - START_TIME)*24, "0.00") for hours and minutes.
  • Category: Dropdown list with predefined options (Work, Meetings, Email, Breaks, Admin).
  • Status: Dropdown list: Completed / In Progress / Pending.

The duration column uses the formula:

=TEXT((End Time - Start Time) * 24, "h:mm")
This automatically computes time spent between entries in hours and minutes, enabling precise tracking.

Conditional Formatting Rules

  • Red Highlight for Duration > 4 Hours: Flags long tasks that may indicate inefficiency or need prioritization.
  • Green Background for Completed Tasks: Indicates task completion and progress.
  • Bold Status "Pending": Draws attention to incomplete work items.
  • Orange Highlight for Meetings: Helps visualize time spent on non-productive tasks (e.g., team meetings).

Summary & Analysis Sheet

This sheet aggregates data from the Time Log and includes:

  • Total weekly hours worked
  • Time by category (Work, Meetings, Breaks)
  • Average daily duration per task
  • Percentage of time spent on high-value vs. low-value activities
  • Top 3 most time-consuming tasks (with durations)
  • Productivity score: calculated as (Total Productive Hours / Total Hours) * 100

The productivity score is computed using this formula:

=SUMIFS(Duration_Column, Category_Column, "Work") / SUM(Duration_Column) * 100
