Project Management Balance Sheet Template – Small Business Edition

Welcome to the Project Management Balance Sheet Template – Small Business, a specialized, practical, and scalable Excel solution designed for entrepreneurs and small business owners who manage multiple projects with tight budgets. This template uniquely blends the financial clarity of a traditional balance sheet with the operational insights needed in project-based environments. While standard balance sheets are typically used for accounting purposes, this version integrates Project Management principles to offer real-time visibility into cash flow, resource allocation, and profitability across individual projects.

The template is tailored specifically for Small Business operations where financial transparency and agility are essential. Unlike corporate balance sheets that focus on long-term assets and liabilities, this version tracks project-specific financial health—such as projected revenues, actual expenses, pending invoices, and cash inflows/outflows. By combining a balance sheet structure with project-level data entry, users gain a holistic view of both financial performance and operational progress.

Sheet Names

The template is structured across five key sheets to support comprehensive project management:

  1. Project Overview: Contains high-level details on each active project (name, start/end dates, manager, status).
  2. Balance Sheet – Project-wise: The core financial sheet where each project's assets, liabilities, equity, and net worth are recorded in real time.
  3. Income & Expense Tracking: Tracks daily or weekly income from projects and associated expenses (labor, materials, tools).
  4. Cash Flow Summary: Aggregates all inflows and outflows by project and time period to show liquidity status.
  5. Dashboard & KPIs: A dynamic visual summary with charts and key performance indicators (KPIs) such as ROI, profit margins, and cash runway.

Table Structures & Column Definitions

Each sheet contains a well-defined table structure to ensure consistency and usability:

Balance Sheet – Project-wise

  • Project ID: Unique identifier for each project (Text, 10 characters).
  • Project Name: Human-readable name of the project (Text).
  • Assets (Current): Monetized value of equipment, software licenses, or tools tied to the project (Currency).
  • Liabilities (Current): Outstanding payments such as vendor dues or unpaid invoices (Currency).
  • Equity / Net Worth: Calculated as Assets – Liabilities (Automatically computed).
  • Status: "Active", "On Hold", or "Completed" (Text).
  • Start Date & End Date: Dates for project duration (Date).
  • Project Manager: Name of responsible team member (Text).
  • Updated On: Auto-updates when data changes (Date/Time).

Income & Expense Tracking

  • Date: Transaction date (Date).
  • Project ID: Links transaction to a specific project.
  • Type: "Revenue", "Expense", or "Payment" (Text).
  • Description: Brief note on the transaction (Text).
  • Amount: Monetary value (Currency).
  • Category: E.g., Labor, Marketing, Supplies (Text - dropdown list).

Data Types & Formulas Required

The template uses standard Excel formulas to ensure real-time updates and accuracy:

  • Net Worth Formula: =Assets – Liabilities (entered in the Equity column).
  • Total Income by Project: =SUMIF(Project ID, “Project A”, Amount) — used to track revenue per project.
  • Cumulative Expenses: =SUMIFS(Amount, Category, "Labor", Date, “>=”&Start_Date).
  • Profit Margin: = (Total Revenue – Total Expenses) / Total Revenue → formatted as percentage.
  • Cash Flow Forecast: Uses a simple rolling 30-day forecast based on historical data with conditional logic.

Conditional Formatting Rules

To highlight financial health and project risks, the following conditional formatting rules are applied:

  • Red Highlight (Negative Net Worth): If Equity < 0, cells turn red for quick identification of at-risk projects.
  • Yellow Alert for High Liabilities: When Liabilities exceed 80% of Assets, the row turns yellow to indicate financial strain.
  • Green Status Indicator: For projects with Profit Margin > 20%, cells show a green fill.
  • Dashed Borders on Delayed Projects: When a project is overdue by more than 14 days, borders are styled in orange.

User Instructions

To use this template effectively:

  1. Open the file and enter your project details in the "Project Overview" sheet.
  2. For each transaction (income or expense), record it in the "Income & Expense Tracking" sheet with accurate dates and categories.
