Research Management Asset Tracking – Manager View Excel Template
This comprehensive Excel template is specifically designed for Research Management teams operating under an Asset Tracking framework, with a dedicated Manager View. Tailored for research directors, lab managers, and project leads overseeing multi-institutional or departmental research infrastructure, this template provides a centralized dashboard to monitor physical and digital assets critical to ongoing scientific initiatives. By integrating asset lifecycle tracking with project alignment metrics, it enables data-driven decision-making while ensuring compliance, budget accountability, and operational efficiency.
Sheet Names
- Dashboard – The primary manager interface with visual KPIs and summary charts
- Asset Register – Master database of all tracked assets with full metadata
- Project-Asset Mapping – Links assets to specific research projects and principal investigators (PIs)
- Maintenance Log – Records service history, calibration dates, and repair events
- Budget & Cost Allocation – Tracks acquisition costs, depreciation, and funding sources
- Status Reports – Auto-generated monthly summary for executive review
Table Structures and Columns with Data Types
The Asset Register sheet contains the core asset database with the following structured columns:
| Column Name | Data Type | Description |
|---|---|---|
| Asset ID | Text (Unique) | System-generated alphanumeric code (e.g., RA-2024-087) |
| Asset Name | Text | Name of equipment or software (e.g., “High-Throughput Sequencer”) |
| Category | List (Drop-down) | < td>Instrument, Software, Consumables, Vehicle, Other|
| Model/Version | Text | E.g., “Illumina NovaSeq 6000 v2.5” |
| Purchase Date | Date | < td>Date of acquisition or deployment|
The Project-Asset Mapping sheet links assets to research projects using:
- Project ID (Text) – Unique project code (e.g., P-2024-CANCER01)
- Project Title (Text)
- PI Name
- Status: Active/Completed/Dormant
- Start Date / End Date
- < strong>Asset ID(s) strong> – Linked via comma-separated values or VLOOKUP from Asset Register
Formulas Required
- In the Dashboard: =COUNTIFS(AssetRegister[Status],"Active") – to count active assets.
- =SUMIFS(Budget&CostAllocation[Cost ($)],AssetRegister[Assigned PI],[@PI]) – to calculate total cost per PI.
- =TODAY()-VLOOKUP([@Asset ID],AssetRegister,12,FALSE) – calculates days since last calibration (used in conditional formatting).
- =IF(DATEDIF([@[Purchase Date]],TODAY(),"y")>[@[Lifespan (Years)]],"Expiring","In Good Standing") – asset lifecycle status.
- =SUMPRODUCT((AssetRegister[Status]="Active")*(AssetRegister[Funding Source]=D2)) – calculates total active asset cost per funding source.
Conditional Formatting
- Red fill: Assets overdue for calibration (>90 days past due).
- Yellow fill: Assets nearing end of lifespan (within 1 year).
- Green highlight: High-value assets ($50k+) assigned to active projects.
- Bold text: Assets with missing Serial Number or Location.
User Instructions
- Enter new assets only in the Asset Register. Use Data Validation drop-downs for category, status, and funding source.
- Assign each asset to a research project using the Project-Asset Mapping sheet. Do not edit Asset IDs manually.
- Update the Maintenance Log after every service event – include date, technician, cost incurred, and next due date.
- The Dashboard auto-updates with all linked data. Refresh PivotTables via Data > Refresh All if changes appear delayed.
- Export the Status Reports sheet monthly for institutional reviews or grant compliance audits. PDF export is recommended.
- Never delete rows in any table – mark assets as “Retired” instead.
