Formulas Required

  • Net Book Value (Assets Detail): =IF([@Status]="Active", [@[Original Cost ($)]] - [@[Accumulated Depreciation ($)]], 0)
  • Total Assets (Balance Sheet): =SUMIFS(AssetsDetail[Net Book Value ($)], AssetsDetail[Status], "Active")
  • Total Liabilities (Balance Sheet): =SUMIFS(LiabilitiesDetail[Amount ($) ], LiabilitiesDetail[Status], "Open")
  • Net Position (Balance Sheet): =Total Assets - Total Liabilities
  • Funding Utilization Rate (Project Summary): =IF([@[Total Awarded ($)]] > 0, [@[Disbursed ($)]] / [@[Total Awarded ($)]] , 0) — formatted as percentage.

Conditional Formatting

  • In the Balance Sheet, if Net Position is negative → cell background turns red.
  • In the Funding Sources sheet, if “Remaining Balance” exceeds 30% of total award → yellow highlight (caution for under-spending).
  • In the Liabilities Detail, due dates within 7 days → orange highlight.
  • In the Assets Detail, if “Status” is “Disposed” → text color greyed out.

User Instructions

For Research Managers:

  1. Update the Assets and Liabilities Detail sheets whenever new equipment is purchased or invoices are received. Always link to a Project Code.
  2. Use only one currency throughout — set this in cell $B$1 of Balance Sheet.
  3. Do NOT edit cells containing formulas (marked in blue). Only input data into shaded white cells.
  4. Update “Status” fields to ensure accurate reporting. Disposed assets must be marked as such to remove from net value.
  5. Monthly, review the Project Summary sheet for funding utilization trends. Projects under 50% spending after half the term may need intervention.
  6. Print or export the Balance Sheet quarterly for grant auditors.
