Table Structures & Columns/Data Types

Balance Sheet Summary Table (Column Headers):

Data types include: Text (Category, Type), Currency (Amount), Text (Currency Code), Date (Reporting Period, Last Updated). The Reporting Period field uses a custom data validation list to enforce standardized period naming like “Q1 2024”, “FY2024”.

Funding Sources Table:

The “Remaining Balance” column uses a formula: =Approved Amount - Disbursed Amount.

Formulas Required

• Total Assets: SUM of all Fixed Assets, Intangible Assets, and Prepaid Research Costs.
• Total Liabilities & Equity: SUM of Grant Liabilities (unspent funds), Accrued Expenses, and Research Equity (Net Surplus from past projects).
• Balance Check Formula: On the Summary Sheet, cell = Total Assets - Total Liabilities & Equity. Must return $0.00 for data integrity.
• Funding Utilization Rate: Disbursed Amount / Approved Amount * 100 (on Funding Sources sheet).
• Operating Efficiency Ratio: Total Research Expenditures / Total Disbursed Funding. Used to measure cost-effectiveness.

Conditional Formatting

• Funding Utilization Rate < 70%: Highlighted in yellow (warning: underutilized funding)
• Funding Utilization Rate > 105%: Highlighted in red (overexpenditure — requires audit)
• Last Updated older than 30 days: Text turns red on Summary sheet to prompt data refresh.
• Balance ≠ $0.00: Entire balance row flashes red with warning symbol (macro-assisted).

Instructions for the User

1. Begin by populating the Funding Sources sheet with all active grants, including exact IDs and disbursement dates.

2. In Expenditures, link each expense to a project ID and funding source using dropdowns (predefined lists).

3. For Intangible Assets, enter estimated valuations based on institutional IP policy or external appraisals — avoid speculative figures.

4. Update the Deferred Costs & Accruals sheet monthly to recognize expenses that span multiple reporting periods (e.g., multi-year software licenses).

5. The Dashboard automatically populates upon data entry in linked sheets. Do not manually edit any charts or summary cells.

6. Always validate the Balance Check Formula before submitting to auditors — a non-zero result indicates data inconsistency.
