Formulas here automatically calculate remaining balances per source based on deductions from Expense Tracker using SUMIFS.

Required Formulas

  • In Budget Overview: =SUMIF(Expense Tracker!C:C, "Books & Journals", Expense Tracker!D:D) — to total category-specific spending.
  • Budget Overview B4 (% Spent): =B2/B1 (formatted as percentage).
  • Projected End Date: =TODAY() + (B3 / B5) — assuming consistent monthly spend.
  • In Expense Tracker, column E (Paid?): =IF(F2="Yes", D2, 0) — used to calculate only settled expenses.
  • Funding Sources remaining balance: =Total Amount - SUMIFS(Expense Tracker!D:D, Expense Tracker!E:E, Source Name)

Conditional Formatting

  • If % Spent > 80% → Background turns amber in B4.
  • If % Spent > 95% → Background turns red and text says “CRITICAL: Funds Running Low”.
  • In Expense Tracker: Any amount over $200 in "Equipment Rental" or "Travel Costs" triggers a yellow highlight — encourages review of large expenses.
  • Any row where “Paid?” is “No” and date > 30 days ago turns red — alerts user to unpaid pending costs.

User Instructions

Step 1: Enter your total research budget in the Budget Overview sheet (e.g., $5,000).

Step 2: List all sources of funding in the Funding Sources sheet (even if it's just $300 from your part-time job).

Step 3: After each purchase, record date, description, category, amount, funding source used, and mark “Paid?” as YES when settled.

Step 4: Review the Budget Overview dashboard weekly. If % Spent exceeds 70%, consider adjusting spending or seeking additional income.

Step 5: Use the Project Timeline sheet to align budget phases with your research goals — e.g., “Q1: Literature Review ($800)” and “Q3: Fieldwork ($2,200)”.
