Formulas Required

  • VLOOKUP / XLOOKUP: Automatically populates Project Name, Category, and Team Lead based on Project ID from the Project Portfolio sheet.
  • SUMIFS: Calculates total hours spent and budget used per project across weeks for the Dashboard.
  • COUNTIF: Counts number of projects in “Delayed” or “Completed” status to populate Dashboard metrics.
  • IFERROR: Wraps all lookup formulas to prevent #N/A errors if a Project ID is missing or invalid.
  • NETWORKDAYS: Calculates the number of workdays within each week for resource utilization ratios.
  • Data Validation Lists: Dropdown menus for Status, Research Category, and Team Lead using named ranges from Reference Data sheet.

Conditional Formatting

  • Status = “Delayed”: Row background turns red (#FF6B6B).
  • Status = “Completed”: Row background turns light green (#C8E6C9).
  • Progress < 25%: Progress bar in cell (using data bars) appears faint.
  • Progress ≥ 90%: Progress bar glows green and bold border is applied.
  • Budget Used > Budget Allocation (from Project Portfolio): Budget column turns orange as a warning.

Instructions for the User

Step 1: Populate the “Project Portfolio” sheet with all active research initiatives, including start/end dates, total budget, team size, and primary category. Each project must have a unique ID.

Step 2: Every Monday morning (or your chosen reporting day), fill out one row per active project in the “Weekly Tracker” sheet. Use dropdowns for Status and Category to maintain consistency.

Step 3: Update “Resource Allocation” with weekly spending and staff assignments. Link these figures using Project ID.

Step 4: Review the Dashboard daily. It auto-updates based on new entries. Use filters to drill down by team, category, or status.

Step 5: At month-end, export the Dashboard as PDF for leadership reviews or grant reporting.

Note: This template is designed for weekly cadence. Do not use it for daily logging unless aggregated into weekly summaries.
