Research Management Chore Chart – Data Version Excel Template

The Research Management Chore Chart – Data Version is a meticulously designed Microsoft Excel template tailored for academic teams, research labs, and project-based organizations that require structured task tracking within the context of scientific inquiry. Unlike traditional chore charts used in households or classrooms, this version transforms the concept into a professional-grade data-driven tool optimized for managing recurring research tasks—such as sample labeling, equipment calibration, literature reviews, data entry validation, and protocol compliance audits. By combining the simplicity of chore tracking with advanced data analytics capabilities, this template empowers research teams to maintain operational rigor while minimizing administrative overhead.

Sheet Names

  • Chore Log – Central database for all tracked tasks, including timestamps, assignees, status, and metadata.
  • Research Tasks Master – Reference table containing standardized research chore categories with descriptions, frequency rules (daily/weekly/monthly), and required certifications.
  • Team Members – List of all researchers, technicians, and assistants with roles, departments, availability windows, and skill tags.
  • Dashboards – Interactive summary view featuring charts, KPIs, completion rates by person/team/protocol type.
  • Audit Trail – Read-only log capturing all manual edits to the Chore Log with timestamps and user IDs (via Excel’s built-in version history integration).

Table Structures

All tables are structured as Excel Tables (Ctrl+T) to enable dynamic range expansion, structured references, and automatic formula propagation.

Formulas Required

  • =IF([@Status]="Completed", TODAY(), IF(TODAY()>[@[Due Date]], "Overdue", [@Due Date])) – Dynamic Due Date calculator.
  • =VLOOKUP([@[Chore Name]], ResearchTasksMaster!A:B, 2, FALSE) – Pulls description from master.
  • =XLOOKUP([@[Assigned To]], TeamMembers!A:A, TeamMembers!B:B) – Auto-populates department.
  • =IFERROR(IF([@[Date Completed]]="", IF(TODAY()>[@[Due Date]], "Overdue", "Not Started"), "Completed"), "") – Status auto-evaluator (can be overridden).
  • =COUNTIFS([Status], "Completed")/COUNTA([Status]) – Completion rate for Dashboard.

Conditional Formatting Rules

  • Overdue Tasks: Red fill if Status = “Overdue” or Due Date < TODAY() AND Status ≠ “Completed”.
  • High Priority Chores: Orange border if Chore Name contains “Calibration” or “Audit” and Status ≠ "Completed".
  • Recent Completion: Light green fill if Date Completed = TODAY().
  • Incomplete Tasks Due Today: Yellow highlight if Due Date = TODAY() AND Status ≠ “Completed”.

Instructions for the User

  1. Set Up Team Members: Populate the Team Members sheet with full names, departments, and availability. Avoid duplicates.
  2. Add Chore Types: In Research Tasks Master, define all recurring research tasks (e.g., “Daily HPLC Calibration,” “Monthly Literature Review”).
  3. Assign Tasks: Use the drop-downs in the Chore Log to assign chores. Do not manually type names—use validated lists.
  4. Update Status Daily: At end of each day, update Status and enter Date Completed for finished tasks. The system auto-updates Due Dates based on frequency.
  5. Monitor Dashboards: Check the Dashboards sheet weekly to review team productivity, overdue items, and task distribution imbalance.
  6. Audit Compliance: Use the Audit Trail sheet for compliance reviews. Never delete rows—archive by marking Status as “Archived.”
