Excel Template for Research Management: Client Management - Client View
This Excel template is specifically engineered for Research Management teams operating within a Client Management framework, utilizing the Client View methodology. Designed to centralize and visualize client-related research activities, this template enables researchers, project managers, and client liaison officers to track interactions, outcomes, deliverables, and timelines—all from the perspective of each unique client. Unlike generic CRM systems or raw data logs that focus on internal processes alone, this Client View prioritizes the end-client’s journey through research engagement: from initial inquiry through to final report delivery and post-project feedback.
Sheet Structure
The template comprises five interconnected worksheets:
- Client Registry: Master list of all clients, their attributes, and engagement history.
- Research Projects: Detailed tracking of individual research initiatives per client.
- Timeline & Milestones: Gantt-style schedule view with deadline alerts.
- Deliverables Log: Records outputs, statuses, and client approvals.
- Dashboards: Interactive summary views with charts and KPIs.

- Dashboard KPIs use:
=COUNTIFS(Client Registry!$F:$F, "Active", Client Registry!$G:$G, ">0")to count active clients with projects.
Conditional Formatting
- Budget Variance > +15%: Red fill → Budget overrun alert.
- Status = "Pending Client Review": Yellow background → Urgent client follow-up needed.
- Last Contact Date > 30 days ago: Orange border on Client Registry row → Risk of disengagement.
- End Date within 7 days: Red text in Timeline sheet → Upcoming deadline warning.
Example Rows
Client Registry Row:CLT-001 | National Institute of Health | Dr. Elena Rodriguez | [email protected] | Government | Active | 2024-06-15 | 3 Research Projects Row:

Instructions for the User
- Begin by populating the Client Registry with all active and historical clients. Do not duplicate entries.
- In the Research Projects sheet, use data validation dropdowns to select Client IDs from the registry—this ensures consistency.
- Update project statuses weekly. Use color-coding in Conditional Formatting to instantly identify risks.
- Never manually edit the "Last Update" field; it is auto-triggered via a simple VBA macro (instructions provided in the Instructions tab).
- To generate client-specific reports, filter the Client Registry by "Client ID" and use Excel's Filter or PivotTable tools.
Recommended Dashboards
The Dashboards sheet includes:
- Client Engagement Heatmap: Shows number of active projects per client sector using conditional color scales.
- Milestone Progress Gantt Chart: Bar chart with start/end dates from Timeline sheet.
- Revenue vs. Budget Performance: Combo chart comparing allocated versus spent budgets across all clients.
- Client Retention Rate: Calculated as (Active Clients / Total Clients) * 100% — critical for Research Management reporting to stakeholders.
This template transforms raw research data into a strategic asset. By adopting the Client View, teams ensure that every data point—from budget variance to contact dates—is contextualized within client relationships, enhancing accountability, communication, and satisfaction. It is indispensable for research institutions seeking to align scientific excellence with commercial or public-sector client outcomes.
