Conditional Formatting

  • Red fill: Projects overdue (End Date < TODAY) or budget over 120% of allocation.
  • Amber fill: Projects within 30 days of deadline, or budget at 85–100% spent.
  • Green fill: Projects on track and under budget.
  • Purple highlight: Stakeholders with no interaction in over 90 days (based on Last Interaction Date).

Instructions for the User

  1. Set up annual cycle: At the beginning of each fiscal year, copy values from prior year’s “Annual Summary Report” into this template’s Settings sheet to establish baseline metrics.
  2. Add projects: Enter new research initiatives in the “Research Projects” table using unique IDs. Link PI and funding source via dropdowns.
  3. Maintain stakeholders: Log every interaction (email, meeting, review) in the Stakeholder Registry. Update Next Follow-Up Date after each contact.
  4. Update weekly: Every Friday, update “Budget Spent,” “Publications Published (YTD),” and “Last Updated Date” for all active projects.
  5. Review Dashboard monthly: Use the dashboard to identify at-risk projects or neglected stakeholders. Schedule interventions accordingly.
  6. Export annually: At year-end, use “Annual Summary Report” to compile metrics for institutional reporting, grant renewals, and performance evaluations.
