Simple CRM Tracker for Research Management

This Simple CRM Tracker for Research Management is an Excel template designed specifically to streamline the organization, monitoring, and follow-up of research collaborations, institutional partnerships, funding bodies, academic contacts, and external stakeholders. Unlike complex enterprise CRMs that overcomplicate research workflows, this template embraces simplicity without sacrificing functionality. It allows principal investigators (PIs), research coordinators, lab managers, and administrative staff to track communication history, project status updates, deadlines for proposals or reporting obligations, and key contact information—all within a single intuitive Excel workbook.

Sheet Names

The template contains three structured sheets:

  • Contacts – Central repository of all research-related contacts
  • Interactions – Log of all communications with contacts (emails, calls, meetings)
  • Dashboards – Visual summary using charts and KPIs derived from the other sheets

Formulas Required

  • In the Contacts sheet, column “Contact ID” uses: =ROW()-1
  • In the Interactions sheet, column “Contact ID” uses data validation with a list from Contacts!A:A to ensure valid links.
  • A VLOOKUP in Interactions!B2 (Name) pulls contact name: =IFERROR(VLOOKUP(A2,Contacts!$A:$I,2,FALSE),"")
  • Dates in “Next Follow-up Date” use conditional logic with: =IF(TODAY()>[Next Follow-up Date], "OVERDUE", IF([Next Follow-up Date]-TODAY()<=7, "DUE SOON", "")) in a helper column for alerts.
  • In Dashboards, the count of “Active Partnerships” uses: =COUNTIFS(Contacts!H:H,"Active")

Conditional Formatting Rules

  • Contacts Sheet: Highlight rows where “Next Follow-up Date” is within 7 days as yellow; overdue dates (past today) in red.
  • Interactions Sheet: Apply orange fill to rows where “Priority Level” = “High.”
  • All sheets: Apply light gray shading every other row for readability.

User Instructions

How to Use This Template:

  1. Start by entering all relevant contacts in the “Contacts” sheet. Use the drop-down menus for consistent categorization.
  2. Every time you communicate with a contact (call, email, meeting), add a new row in “Interactions.” Always link it to the correct Contact ID.
  3. Update “Last Contact Date” and “Next Follow-up Date” after each interaction. The template will automatically flag overdue items.
  4. Use the dashboards sheet to monitor active contacts, pending follow-ups, and partnership trends monthly.
  5. Save a copy weekly as a backup. Do not modify column structures or formulas unless you understand their function.

Recommended Charts & Dashboards

The “Dashboards” sheet includes four recommended visualizations:

  • Pie Chart: “Partnership Status Distribution” — shows percentage of Prospect/Active/Inactive contacts.
  • Bar Chart: “Interactions by Type Over Time (Last 3 Months)” — tracks communication volume trends.
  • Table with Conditional Formatting: “Upcoming Follow-ups (Next 14 Days)” — lists contacts due for contact, sorted by date.
  • KPI Card: “Total Active Partnerships” and “Overdue Tasks” — large numeric counters at the top of the sheet for quick monitoring.

This Simple CRM Tracker for Research Management is not designed to replace enterprise software but to empower small research teams with a lightweight, portable, and easy-to-maintain system. By keeping data clean, structured, and visually intuitive, it reduces administrative burden while maximizing relationship-driven research outcomes.
