Daily Summary Sheet

This sheet dynamically pulls data from the Daily Log using formulas:

  • Total hours logged today (SUM of Time Spent)
  • Number of tasks completed today (COUNTIF Status = “Completed”)
  • Percent completion rate: (Completed Tasks / Total Tasks) * 100
  • Top project by time spent (INDEX/MATCH with MAX function)
  • Weekly progress bar: Compares total hours this week to target using conditional formatting.

Formulas Required

  • =VLOOKUP(B2,ProjectTracker!A:F,2,FALSE) in Project Name column of Daily Log to auto-populate project names.
  • =SUM(DailyLog!E:E) in Daily Summary for total daily hours.
  • =COUNTIFS(DailyLog!F:F,"Completed")/COUNTA(DailyLog!F:F)*100 for completion rate percentage.
  • =INDEX(ProjectTracker!B:B,MATCH(MAXIF(DailyLog!B:B,DailyLog!E:E),DailyLog!E:E,0)) to find top project (requires helper column).

Conditional Formatting

  • In Daily Log: Cells with Status = “Completed” are shaded green; “In Progress” are yellow; “To Do” remain white.
  • In Daily Summary: Weekly progress bar uses data bars based on actual vs. target hours.
  • Any date older than 7 days in Daily Log is lightly grayed to encourage daily logging.

Instructions for the User

How to Use This Template:

  1. Open the template at the start of each week and enter your research projects in the Project Tracker sheet (one row per project).
  2. Each day, go to Daily Log and fill in Date, Project ID, Task Description, Time Spent, and Status. Use dropdowns for Status.
  3. At the end of each day, review Daily Summary to assess productivity.
  4. Update Project Tracker weekly with new milestones or status changes.
  5. If a project is completed or paused, update its status in Project Tracker—this will not delete logs but helps future filtering.
  6. Print the Daily Summary sheet for weekly meetings with advisors or collaborators.

The Basic version includes two simple, non-interactive charts embedded in the Daily Summary sheet:

  • Pie Chart: “Today’s Time Allocation by Project” – Shows percentage of daily hours spent per project (uses data from Daily Log grouped by Project ID).
  • Line Chart: “Weekly Hours Trend” – Plots total daily hours logged over the past 7 days, helping identify productivity patterns.

These charts update automatically with new entries. No macros are used—charts rely solely on dynamic named ranges and formula-based data sources for reliability. While advanced users may enhance this with Power Query or pivot charts, the Basic version remains intentionally simple to ensure compatibility across all Excel versions (2010–2024) and devices.
