  • Used_By (Text) – Name or ID of researcher using the equipment.
  • Usage_Hours (Number, 2 decimal places) – Cumulative hours used today. Auto-calculates from previous day’s total if logged.
  • Cleanliness_Rating (Dropdown: Excellent / Good / Fair / Poor)
  • Issues_Reported (Text) – Free-form description of anomalies, malfunctions, or calibration needs.
  • Maintenance_Due (Date) – Auto-populated from Maintenance_Schedule based on Equipment_ID.

Conditional Formatting

  • Red Fill: Rows where Status = “In Repair” or “Out of Service”.
  • Yellow Highlight: When Maintenance_Due is within 3 days of today’s date.
  • Green Fill: Rows with Cleanliness_Rating = “Excellent”.
  • Bold Text + Red Border: If Usage_Hours > daily average + 2 standard deviations (indicating overuse risk).
  • Icon Sets: 3-color traffic light icons next to Status column (green = Operational, yellow = Loaned Out, red = In Repair).

Instructions for the User

To use this template effectively:

  1. Daily Entry Required: At the start or end of each workday, open Daily_Log. Ensure the Date field is correct.
  2. Select Equipment_ID: Use the dropdown to select an instrument from Equipment_Master. This auto-fills Name, Location, and Maintenance_Due.
  3. Update Usage & Status: Enter hours used today (even if zero), change status if needed, and rate cleanliness.
  4. Report Issues: Use the “Issues_Reported” column to document any malfunction or calibration deviation. This triggers alerts in the Dashboard.
  5. Maintenance Confirmation: If maintenance was performed today, mark “Maintenance_Completed” as Yes. The system will auto-update Last_Maintenance_Date and reset Next_Maintenance_Due.
  6. Review Dashboards Weekly: Check for emerging trends—e.g., repeated failures on a specific model, overuse of high-demand equipment.
  7. Do Not Modify Equipment_Master: Only authorized lab managers should edit this sheet. Use the “Request Update” column to submit changes.
