Research Management Equipment Inventory – Employee View Excel Template

This Excel template is specifically engineered for Research Management environments where accurate, real-time tracking of scientific and laboratory equipment is critical to operational efficiency. Designed with the Employee View in mind, it empowers individual researchers, lab technicians, and support staff to self-manage their equipment assignments without requiring administrative intervention. The template ensures transparency, accountability, and compliance within institutional research protocols while minimizing downtime caused by misallocated or unreported equipment.

Sheet Names

  • Equipment Inventory – Core data table with all tracked assets.
  • User Assignments – Links employees to assigned equipment and tracks usage history.
  • Status Dashboard – Interactive summary view with charts and KPIs (read-only for employees).
  • Instructions & Guidelines – Step-by-step guidance for data entry, reporting, and troubleshooting.

Table Structures & Columns (Equipment Inventory Sheet)

The primary table, “Equipment Inventory,” contains the following structured columns with defined data types:

< td>Category: Spectrometer, Centrifuge, Incubator, Microscope, etc.< td>Date of acquisition for depreciation tracking.<< td>Text (Dropdown)< td>Lab room or facility zone (e.g., “Core Facility B”, “Cell Biology Lab 3”)< td>Text (Dropdown)< td>Available, In Use, Under Maintenance, Retired< td>Date< td>Date of last calibration or service.<< td>Date< td>Auto-calculated using a formula (see below).< td>Text< td>ID of the current user (links to User Assignments sheet).<< td>Text< td>Name or employee ID of last person who modified record.<< td>Date/Time< td>Auto-populated using formula on edit.

Formulas Required

  • Next Due Calibration: =IF([@Last Calibration]<>””, [@Last Calibration]+365, “”) – Assumes annual calibration; adjustable per policy.
  • Last Updated Date: Using VBA or Excel’s built-in “=NOW()” function triggered on edit (via Worksheet_Change event) to auto-log timestamp.
  • Status Conditional Logic: If “Next Due Calibration” is less than TODAY(), status auto-changes to “Overdue Calibration” via conditional formatting.
  • Assignment Count: =COUNTIF(User Assignments!$C:$C, [@“Equipment ID”]) – Tracks how many times an item has been assigned in the past.

Conditional Formatting

  • Overdue Equipment: Red fill if “Next Due Calibration” < TODAY() and Status ≠ “Retired”.
  • High Priority Items: Yellow highlight for equipment with “Critical” tag in a hidden column (e.g., NMR, SEM).
  • Newly Assigned: Light green fill for records where “Last Updated Date” is within last 24 hours.
  • Empty Fields: Light orange if any mandatory field (Equipment ID, Name, Location) is blank.

User Instructions

This template is designed for daily use by researchers. Follow these steps:

  1. Log In/Identify: Always enter your Employee ID in the “Assigned To” column when you take equipment out of storage.
  2. Report Issues Immediately: If equipment is malfunctioning, change its status to “Under Maintenance” and note reason in comments (add a Comments column if needed).
  3. Return Equipment: When done, update Status to “Available” and clear your Employee ID. Do not leave items unattended without updating.
  4. Calibration Alerts: If you see red-highlighted equipment, notify your lab manager immediately — do not use overdue devices.
  5. No Editing of Core Fields: Only users with admin rights may edit Equipment ID, Purchase Date, or Location. Employees may only update Status and Assigned To fields.
