Formulas Required
Next Due Calibration: =IF([@Last Calibration]<>””, [@Last Calibration]+365, “”) – Assumes annual calibration; adjustable per policy.
Last Updated Date: Using VBA or Excel’s built-in “=NOW()” function triggered on edit (via Worksheet_Change event) to auto-log timestamp.
Status Conditional Logic: If “Next Due Calibration” is less than TODAY(), status auto-changes to “Overdue Calibration” via conditional formatting.
Assignment Count: =COUNTIF(User Assignments!$C:$C, [@“Equipment ID”]) – Tracks how many times an item has been assigned in the past.
Conditional Formatting
Overdue Equipment: Red fill if “Next Due Calibration” < TODAY() and Status ≠ “Retired”.
High Priority Items: Yellow highlight for equipment with “Critical” tag in a hidden column (e.g., NMR, SEM).
Newly Assigned: Light green fill for records where “Last Updated Date” is within last 24 hours.
Empty Fields: Light orange if any mandatory field (Equipment ID, Name, Location) is blank.
User Instructions
This template is designed for daily use by researchers. Follow these steps:
Log In/Identify: Always enter your Employee ID in the “Assigned To” column when you take equipment out of storage.
Report Issues Immediately: If equipment is malfunctioning, change its status to “Under Maintenance” and note reason in comments (add a Comments column if needed).
Return Equipment: When done, update Status to “Available” and clear your Employee ID. Do not leave items unattended without updating.
Calibration Alerts: If you see red-highlighted equipment, notify your lab manager immediately — do not use overdue devices.
No Editing of Core Fields: Only users with admin rights may edit Equipment ID, Purchase Date, or Location. Employees may only update Status and Assigned To fields.
Pie Chart: “Equipment Status Distribution” – Shows % Available, In Use, Under Maintenance.
Bar Chart: “Top 10 Most Used Equipment” – Based on assignment count from User Assignments sheet.
Timeline Gantt Chart: Calibration deadlines over next 6 months (color-coded by lab).
KPI Cards: Real-time counters: Total Equipment, Overdue Items, Assigned to Your Lab, Avg. Usage Days.
