Research Management - Equipment Inventory Summary View Template

This Excel template is specifically designed for Research Management teams managing complex laboratory or field equipment assets. The Equipment Inventory component tracks every piece of research-grade hardware, software, and specialized instrumentation critical to ongoing scientific projects. This version uses a Summary View, optimizing data visualization and decision-making by condensing detailed inventory records into high-level, actionable insights without losing traceability or audit readiness.

Sheet Names

  • Equipment Summary: Primary dashboard with aggregated metrics, status summaries, and quick filters.
  • Full Inventory List: Raw data table with all equipment entries and detailed attributes (hidden from daily view).
  • Depreciation & Maintenance Log: Tracks acquisition cost, depreciation schedule, service history, and warranty dates.
  • Project Assignments: Links equipment to active research projects, funding sources, and principal investigators.
  • Dashboard Charts: Auto-generated visualizations based on Summary View data (charts only — no editable data).

Table Structures and Columns

The core table resides in the Full Inventory List sheet with the following columns:

<< td>Category: Spectrometer, Centrifuge, PCR Machine, Software License, etc.< td>Laboratory name, building, room number (e.g., "Building A, Lab 305").< td>Date equipment was purchased or commissioned.< td>Initial purchase price in USD (used for depreciation).< td=Calculates depreciated value using straight-line method.< td>Lifespan assigned by institutional policy (e.g., 5, 7, or 10 years).< td>Date< td>Last maintenance or calibration performed.< td>Date (Formula)< td=Calculated as Last Service Date + Service Interval.< td>Number< td>Recommended interval between maintenance checks (e.g., 90, 180, or 365).< td>Text< td=Links to project in Project Assignments sheet.< td>Text (VLOOKUP)< td=Auto-populates from Project Assignments using assigned project ID.< td>Text (VLOOKUP)< td=Auto-populated from Project Assignments sheet.< td>Memo (Text)< td=Additional comments: calibration reports, vendor contacts, special usage restrictions.

Key Formulas

  • =IF([Acquisition Date]="","",[Original Cost] - ([Original Cost]/[Depreciation Period]) * (DATEDIF([Acquisition Date],TODAY(),"y"))) — Calculates current depreciated value.
  • =IF([Last Service Date]="","N/A", [Last Service Date] + [Service Interval]) — Computes next mandatory service date.
  • =VLOOKUP([Assigned Project ID], 'Project Assignments'!A:D, 2, FALSE) — Retrieves PI Name from project data.
  • =COUNTIFS([Status], "Active", [Location], A2) — Counts active equipment per location in Summary View.

Conditional Formatting Rules

  • Red Fill: If [Next Due Date] is within 7 days of today — alerts pending maintenance.
  • Yellow Fill: If [Next Due Date] is between 8–30 days away — cautionary notice.
  • Gray Fill: If status = "Retired" — visually removes item from active consideration.
  • Bold Text + Blue Border: If equipment cost > $50,000 — highlights high-value assets requiring special oversight.

User Instructions

How to Use This Template:

  1. Populate the Full Inventory List with all equipment entries using provided dropdowns for status and type.
  2. Update acquisition dates, costs, and service intervals accurately — these drive depreciation and alerts.
  3. In the Project Assignments sheet, link each piece of equipment to an active research project using the assigned ID.
  4. The Summary View dashboard automatically updates. Do not edit data directly here — all changes must be made in Full Inventory List.
  5. Use the filters on row 1 of Summary View to segment data by location, type, status, or PI for quick analysis.
  6. Monthly: Review "Overdue Maintenance" section and schedule services. Retire equipment via status dropdown when no longer in use.

Recommended Charts and Dashboards (Dashboard Charts Sheet)

  • A Pie Chart: Distribution of equipment by type — reveals if lab is over-invested in one category.
  • A Stacked Bar Chart: Active equipment per location vs. total inventory — visualizes resource allocation across labs.
  • An Area Chart: Depreciation curve of total asset value over time — important for budget forecasting and grant reporting.
  • A Gauge Dashboard: Percentage of equipment currently under maintenance vs. operational status — critical KPI for Research Management leadership.
  • A Heat Map: Equipment usage density by PI — identifies overburdened or underutilized researchers.

This template transforms raw asset data into strategic insights. In the context of Research Management, this tool ensures compliance, prevents costly equipment downtime, optimizes procurement budgets, and provides auditable records for institutional reviews. The Summary View eliminates clutter while preserving the integrity of the underlying Equipment Inventory, enabling administrators to lead with data-driven decisions.
