  • Maintenance Schedule: Records calibration, servicing dates, and technician notes.
  • Check-Out/In Tracker: Real-time status of equipment availability (borrowed or available).
  • Dashboards: Visual summary with charts and KPIs for team leads and managers.
  • Settings & Help: Contains dropdown lists, user instructions, and version control.

Table Structures & Columns (Main Inventory)

The Main Inventory sheet contains a structured table with the following columns:

Date of acquisition for depreciation tracking.
Total acquisition cost in USD.

Laboratory Room, Field Station, Shared Resource Center
StatusDropdown (Text)
New, Active, In Repair, Decommissioned
Assigned TeamText / Dropdown
Name of research group (e.g., “Neurobiology Lab”)
Calibration DueDate
Date next calibration required; auto-calculated from last service.
Last Service DateDate
Manual entry or pulled from Maintenance Schedule.
Service Interval (months)Number
e.g., 6, 12; used in formula for auto-calculating next due date.
Serial NumberText
Fully unique identifier for warranty and tracking.
NotesMemo (Text)
Additional details: accessories, software licenses, special handling.

Formulas Required

  • In column “Calibration Due”: =IF([@[Last Service Date]]<>"", [@[Last Service Date]] + ([@[Service Interval (months)]]*30), "")
  • Status indicator using conditional logic: =IF(TODAY()>[[@Calibration Due]], "OVERDUE", IF(TODAY()+7>=[@[Calibration Due]], "DUE SOON", [@[Status]]))
  • Inventory Value Summary: =SUM(Main Inventory[Cost ($)]) on Dashboard sheet.
  • Average Age of Equipment: =AVERAGEIF(Main Inventory[Status],"Active",DATEDIF(Main Inventory[Purchase Date],TODAY(),"y"))

Conditional Formatting

  • Red Fill: Cells where “Calibration Due” is past today’s date.
  • Yellow Fill: Cells where calibration is due within 7 days.
  • Green Fill: Equipment marked as “Active” and in good standing.
  • Gray Text: “Decommissioned” items to de-emphasize visually.

User Instructions

For Team Use:

  1. All team members must use their assigned login name or initials when logging usage in the “Usage Log” sheet.
  2. Only authorized personnel may update “Maintenance Schedule” or change equipment status.
  3. Always complete the “Check-Out/In Tracker” before using shared equipment to avoid double bookings.
  4. Update the “Calibration Due” date manually after servicing; the formula will auto-adjust future dates.
  5. Do not edit locked cells (highlighted in light gray). All changes must go through designated input forms on “Settings & Help.”
  6. Run a monthly audit using the Dashboard to identify overdue or underused equipment.
