Table Structures & Columns (Main Inventory)
The Main Inventory sheet contains a structured table with the following columns:
| Column Name | Data Type | Description |
|---|---|---|
| Asset ID | Text (Unique) | Auto-generated barcode-style ID (e.g., RES-EQ-001) |
| Equipment Name | Text | Name of equipment (e.g., “HPLC System”) |
| Type | Dropdown (Text) | Category: Spectrometer, Centrifuge, Microscope, etc. |
| Brand/Model | Text | e.g., “Agilent 1260 Infinity II” |
| Purchase Date | Date | |
| Cost ($) | Currency | |
| Location | Dropdown (Text) | |
| Status | Dropdown (Text) | |
| Assigned Team | Text / Dropdown | |
| Calibration Due | Date | |
| Last Service Date | Date | |
| Service Interval (months) | Number | |
| Serial Number | Text | |
| Notes | Memo (Text) |
Formulas Required
- In column “Calibration Due”:
=IF([@[Last Service Date]]<>"", [@[Last Service Date]] + ([@[Service Interval (months)]]*30), "") - Status indicator using conditional logic:
=IF(TODAY()>[[@Calibration Due]], "OVERDUE", IF(TODAY()+7>=[@[Calibration Due]], "DUE SOON", [@[Status]])) - Inventory Value Summary:
=SUM(Main Inventory[Cost ($)])on Dashboard sheet. - Average Age of Equipment:
=AVERAGEIF(Main Inventory[Status],"Active",DATEDIF(Main Inventory[Purchase Date],TODAY(),"y"))
Conditional Formatting
- Red Fill: Cells where “Calibration Due” is past today’s date.
- Yellow Fill: Cells where calibration is due within 7 days.
- Green Fill: Equipment marked as “Active” and in good standing.
- Gray Text: “Decommissioned” items to de-emphasize visually.
User Instructions
For Team Use:
- All team members must use their assigned login name or initials when logging usage in the “Usage Log” sheet.
- Only authorized personnel may update “Maintenance Schedule” or change equipment status.
- Always complete the “Check-Out/In Tracker” before using shared equipment to avoid double bookings.
- Update the “Calibration Due” date manually after servicing; the formula will auto-adjust future dates.
- Do not edit locked cells (highlighted in light gray). All changes must go through designated input forms on “Settings & Help.”
- Run a monthly audit using the Dashboard to identify overdue or underused equipment.
