Formulas Required
Week Number: =WEEKNUM(A2, 2) — calculates ISO week number based on Monday start.
Weekly Total: =SUMIF(Weekly Expenses!D:D, D2, Weekly Expenses!G:G) — in Category Budgets sheet to sum weekly spend per category.
Budget Variance: =Category Budgets!E2 - SUMIFS(Weekly Expenses!G:G, Weekly Expenses!D:D, Category Budgets!C2, Weekly Expenses!B:B, WeekNumber) — calculates how much remains or exceeds weekly allocation.
Running Total Per Project: =SUMIF(Weekly Expenses!C:C, C2, Weekly Expenses!G:G) — tracks cumulative spending per research project over time.
Auto-Fill Week Ending:=TODAY()-WEEKDAY(TODAY(),2)+7 — populates next week’s end date when new row added.
Conditional Formatting
Red Highlight: Cells in the “Amount” column where weekly spend exceeds 95% of allocated budget for that category (formula: =$G2 > INDEX(Category Budgets!E:E, MATCH(D2, Category Budgets!C:C, 0)) * 0.95).
Yellow Highlight: Cells in “Status” column with “Pending” to draw attention to unprocessed claims.
Green Fill: Rows where “Approved By” is populated AND status is “Paid,” indicating complete compliance.
Bold Border: Applied to the week-ending row for visual separation between reporting periods.
Instructions for the User
Begin each week by opening the template and verifying that “Date (Week Ending)” auto-updates to Sunday.
Enter new expenses under “Weekly Expenses” using dropdowns for Category and Status. Never leave fields blank.
All receipts/invoices must be uploaded as PDFs with filenames matching the Invoice # column in a designated shared folder (link provided in Notes & Guidelines sheet).
Update “Status” to “Paid” only after reimbursement confirmation. Do not change "Approved By" — this field must reflect actual PI authorization.
Review Dashboard weekly for trends. If any category exceeds 80% of budget, consider reallocating funds or submitting a budget adjustment request.
At month-end, export “Weekly Expenses” to PDF and submit with the grant report. Use the Summary Totals in Dashboards as supporting data.
