Research Management Gantt Chart – Employee View Excel Template
This comprehensive Excel template is specifically designed for Research Management teams to visualize, track, and coordinate individual research tasks through an intuitive Gantt Chart interface optimized for the Employee View. Unlike traditional manager-centric Gantt charts that focus on team-wide milestones, this template empowers individual researchers to manage their own workload with clarity. It enables each employee to see their assigned activities, deadlines, dependencies, and progress—all in one interactive dashboard—thereby enhancing accountability, reducing task overlap, and promoting time-efficient research workflows.
Sheet Structure
The template consists of four primary sheets:
- Task List: Central repository of all research tasks assigned to employees.
- Gantt Chart (Employee View): Interactive visual timeline displaying individual task progress.
- Employee Directory: Master list of team members with roles, contact info, and availability.
- Dashboard: Summary metrics and KPIs for personal performance tracking.

Gantt Chart (Employee View) Sheet
This sheet dynamically populates a horizontal Gantt chart using conditional formatting and named ranges. Each row represents one research task assigned to the currently selected employee. The chart spans from the earliest to latest date in the Task List, with each day represented as a column.
Formulas Required:
=IF(AND(TODAY()>=[@[Start Date]], TODAY()<=[@[End Date]], [@Status]="In Progress"), 1, 0)– Identifies today’s active tasks for highlighting.=IF([@[End Date]]– Flags overdue tasks. =REPT("■", ROUND([% Complete]/100*30, 0)) & REPT("□", 30-ROUND([% Complete]/100*30, 0))– Simulates a visual progress bar using Unicode characters (for non-chart view compatibility).=COUNTIFS(TaskList[Employee ID], $B$2, TaskList[Status], "In Progress")– Counts active tasks for the selected employee (cell B2 holds dropdown for Employee ID selection).
Conditional Formatting Rules
- Red fill: Tasks marked “Late” or with status “On Hold” beyond 5 days.
- Yellow fill: Tasks where % Complete is less than 20% but End Date is within 3 days.
- Green highlight: Tasks completed on or before their deadline.
- Bold text: High-priority tasks (Priority = “High”).
Employee View Functionality
The unique feature of this template is its personalization. At the top of the Gantt Chart sheet, users select their Employee ID from a dropdown list. The entire chart then filters to show only tasks assigned to that employee. This ensures no information overload and maintains data privacy—critical in collaborative research environments.
Instructions for Users
- Open the template and navigate to the Employee Directory. Verify your details are correct or update them if necessary.
- In the Gantt Chart sheet, use the dropdown in cell B2 to select your Employee ID.

Recommended Charts & Dashboards
The Dashboard sheet includes:
- A stacked bar chart showing time allocation across task categories (e.g., Literature, Experiments, Writing).
- A pie chart displaying percentage of tasks by status (In Progress vs. Completed vs. On Hold).
- A trendline graph comparing estimated vs. actual hours logged over the last 4 weeks.
- KPI summary cards: “Tasks Due This Week,” “On-Time Completion Rate,” and “Average Daily Productivity.”
These visuals empower researchers to self-assess productivity and identify patterns in their workflow—crucial for continuous improvement in research management.
This Excel template transforms static task lists into dynamic, personalized project roadmaps. By aligning Research Management principles with the visual clarity of a Gantt Chart, and tailoring it exclusively to the needs of each researcher through the Employee View, this tool becomes indispensable for academic labs, pharmaceutical R&D teams, and innovation-driven organizations.
