This Excel template is a purpose-built Research Management Habit Tracker designed specifically for the Client View. It enables researchers, research assistants, and academic clients to monitor and optimize daily habits that directly contribute to successful research outcomes. Table Structures & Columns
The core table resides in the Habit Log sheet with the following columns:
| Date (YYYY-MM-DD) | Habit ID | Habit Name | Target Duration (min) | Actual Duration (min) | Status < | Notes / Context |
|---|
Data Types:
- Date: Date format (YYYY-MM-DD)
- Habit ID: Numeric reference (1-15), linked to Habit Definitions sheet via VLOOKUP.
- Habit Name: Text, auto-populated from Habit Definitions sheet using XLOOKUP.
- Target Duration: Number (integer minutes) pulled dynamically from definitions.
- Actual Duration: User-entered number representing time spent on task in minutes.
- Status: Text output ("Met", "Near", "Missed") calculated using nested IF formula based on % of target achieved.
- Notes / Context: Free-text field for qualitative input (e.g., “Interrupted by meeting”, “Used Zotero for citation”)
Formulas Required
- Habit Name: In column C of Habit Log:
=XLOOKUP(B2, 'Habit Definitions'!$A:$A, 'Habit Definitions'!$B:$B) - Target Duration: In column D:
=XLOOKUP(B2, 'Habit Definitions'!$A:$A, 'Habit Definitions'!$C:$C) - Status: In column F:
=IF(E2>=D2*0.9,"Met",IF(E2>=D2*0.6,"Near","Missed"))
- Weekly Completion Rate (Dashboard):
=ROUND(AVERAGEIFS('Habit Log'!F:F,'Habit Log'!A:A,">="&TODAY()-WEEKDAY(TODAY())+1,'Habit Log'!A:A,"<"&TODAY()+1),'Met')/COUNTIFS('Habit Log'!A:A,">="&TODAY()-WEEKDAY(TODAY())+1,'Habit Log'!A:A,"<"&TODAY()+1)*100,2) - Monthly Research Output Estimate (Dashboard):
=SUMIFS('Habit Log'!E:E,'Habit Log'!C:C,"Writing", 'Habit Log'!A:A,">="&EOMONTH(TODAY(),-1)+1,'Habit Log'!A:A,"<="&EOMONTH(TODAY(),0))/60
Conditional Formatting
- Status Column: Green for “Met”, Amber for “Near”, Red for “Missed”.
- Date Row Highlighting: Rows with entries older than 7 days are lightly shaded to encourage daily logging.
- Habit Target Comparison: Bar icons in column E (Data Bars) show % of target achieved visually.
- Client Report Thresholds: Cells in Client Report sheet turn yellow if weekly completion rate drops below 70% for >2 consecutive weeks.
User Instructions
To use this template effectively:
- Open the “Habit Definitions” sheet and customize habits to match your research workflow (e.g., “Literature Review”, “Data Coding”, “Email Communication with Co-authors”). Define target durations (e.g., 45 min/day for writing).
- Each day, log entries in the "Habit Log" by selecting the date and habit from dropdowns (data validation applied), then enter actual time spent.
- Use “Notes” to capture contextual factors affecting performance—this qualitative data is vital for client reviews.
- Review the Dashboard weekly. The Client Report sheet automatically compiles your progress into a one-page summary with charts and color-coded indicators for stakeholders.
- Do not modify formulas or structure of hidden sheets. Use only input cells marked in yellow.
