  • In the Projects sheet: =SUMIFS(BudgetTracker[Amount], BudgetTracker[Project ID], [@[Project ID]]) to auto-calculate budget spent.
  • In the Dashboard: =COUNTIFS(Projects[Status],"Active") for real-time active project count.
  • % Utilized in Projects sheet: =IFERROR([@[Budget Spent ($)]]/[@[Budget Allocated ($)]],0)
  • In Team Members sheet: =COUNTIFS(Projects[Principal Investigator], [@Name]) + COUNTIF(Projects[Projects Assigned], "*"&[@Employee ID]&"*") to count total projects per member.

Conditional Formatting

  • Project Status: Green for “Active,” yellow for “On Hold,” red for “Cancelled.”
  • Budget Utilization: Red if >90%, amber if 70–89%, green if ≤69%.
  • Milestone Delays: In Timeline sheet, dates past due highlighted in red with bold text.
  • Publications: Cells with >5 publications per researcher highlighted in gold background.

User Instructions

Step 1: Begin by populating the Team Members and Funding Sources sheets first. These are referenced across other sheets via data validation dropdowns.

Step 2: Create new projects using the Projects sheet. Use only dropdowns to ensure data integrity.

Step 3: Log expenses in the Budget Tracker sheet by entering Project ID, date, description, and amount. All values auto-populate into Projects.

Step 4: Update project status weekly. The Dashboard will automatically reflect changes.

Step 5: Enter publication details in the Publishing Log to link citations to projects and researchers.

Note: All formulas are locked; do not overwrite cells with formulas. Use “Raw Data Inputs” only if instructed by administrator.
