Freelancer Home Template for Research Management
This Excel template is a purpose-built Home Template designed specifically for independent researchers, academics, and freelance professionals managing multiple research projects simultaneously. As a Freelancer, you often juggle grant applications, literature reviews, data collection timelines, funding deadlines, and publication goals—all without the support of institutional infrastructure. This template centralizes your entire research workflow into a single intuitive dashboard that keeps you organized, accountable, and on schedule.
Sheet Names
- Dashboard – Central overview with key metrics and visual summaries
- Projects Tracker – Detailed record of all active research projects
- Funding & Grants – Deadlines, applications, awards, and budget allocations
- Literature Log – Catalog of reviewed papers, summaries, and citations
- Data Collection Log – Raw data sources, timestamps, and collection status
- Publication Goals – Target journals, submission dates, revision stages
- Time Allocation – Weekly time budget per research activity (e.g., writing vs. analysis)
- Notebook – Free-form journal for ideas, reflections, and meeting notes
Table Structures & Columns
Projects Tracker:
| Column Name | Data Type | Description |
|---|---|---|
| Project ID | Text (e.g., PRJ-001) | Unique identifier for tracking |
| Title | Text | Brief project name or title |
| Status | Dropdown: Draft, Active, Paused, Completed | |
| Start Date | Date (YYYY-MM-DD) | |
| Deadline | Date (YYYY-MM-DD) | |
| Prioritization | Dropdown: High, Medium, Low | |
| Funding Source | Text / Dropdown (linked to Funding sheet) | |
| Last Updated | Date + Time (auto-filled via formula) | |
| Completion % | Number (0–100) |
Funding & Grants:
| Column Name | Data Type |
|---|---|
| Grant ID | Text (e.g., GRT-2024-01) |
| Name of Grant | Text |
| Agency/Institution | Text |
| Application Due Date | Date (YYYY-MM-DD) |
| Funding Amount ($) | Currency (USD) |
| Status | Dropdown: Applied, Under Review, Awarded, Denied |
| Next Follow-up Date | Date (YYYY-MM-DD) |
| Budget Allocated ($) | Currency (USD) |
Formulas Required
- In the Dashboard, use:
=COUNTIFS(ProjectsTracker[Status], "Active")to auto-calculate active projects. =SUMIF(Funding&Grants[Status], "Awarded", Funding&Grants[Funding Amount])displays total secured funding.- In the Projects Tracker, use:
=TODAY()in the “Last Updated” column with VBA or manual trigger (recommended to enable manual input via button or shortcut). - In the Publications sheet: use conditional logic to flag overdue submissions with:
=IF(AND(ISNUMBER([Submission Date]), [Submission Date] < TODAY()), "OVERDUE", ""). - Calculate weighted project priority score: multiply “Prioritization” value (High=3, Medium=2, Low=1) by “Completion %”, then average to determine overall project momentum.
Conditional Formatting Rules
- In the Projects Tracker: Highlight rows with status = “Paused” in light gray; highlight rows where deadline < TODAY() and Completion % < 75% in red.
- In Funding Tracker: Mark "Under Review" as amber, "Awarded" as green, and "Denied" as red.
- In Time Allocation: Color-code time blocks exceeding 20 hours/week in dark blue (overload warning).
- In Literature Log: Shade rows where “Relevance” = “High” with a pale yellow background.
Instructions for the User
This template is designed for daily or weekly use. As a Freelancer, consistency is critical. Dedicate 15 minutes every Monday to update the Dashboard and Projects Tracker. Use dropdowns instead of free text to maintain data integrity. Link your Literature Log to Zotero or Mendeley by copying citation IDs into Column F for easy cross-referencing.
Always fill in “Last Updated” manually after editing any row—this ensures you know exactly when decisions were made. The Dashboard auto-calculates metrics, so never overwrite these cells. Use the Notebook sheet to capture spontaneous insights—these often become breakthrough ideas.

Projects Tracker Example:
PRJ-001 | “AI in Climate Modeling” | Active | 2024-03-15 | 2024-11-30 | High | NSF Grant 24-AI8765 | 2024-11-08T16:33:59Z | 65%
Funding & Grants Example:
GRT-2024-01 | National Science Foundation Early Career Grant | NSF | 2024-12-01 | $75,000 | Applied | 2024-11-30

On the Dashboard sheet, embed these visualizations:
- Pie Chart: “Project Status Distribution” — shows % of Active vs. Completed projects.
