| Name | Text | Description of the asset, e.g., "High-Resolution CryoEM" |
| Type | Dropdown (Equipment, Reagent, Software, Consumable) | Categorizes assets for filtering and reporting |
| Category | Text/Custom List | e.g., Microscopy, Genomics, AI-ML Tools |
| Serial Number | Text (Optional) | Fully traceable manufacturer ID |
| Purchase Date | Date (DD/MM/YYYY) | Triggers depreciation and warranty calculations |

| Current Location ID | Lookup from Locations Sheet | References facility/room code (e.g., Lab-B3.17) |
| Status | Dropdown (Active, In Repair, Archived, Loaned Out, Disposed) | |
| Owner / Principal Investigator | Text | Name and department of the primary researcher responsible |
| Last Calibration Date | Date (Optional for Equipment) | |
| Next Due Date (Calibration/Maintenance) | Date (Auto-calculated) | =IF([Type]="Equipment", IF(ISBLANK([Last Calibration Date]), "", [Last Calibration Date]+365), "") |
| Warranty Expiry | Date (Auto-calculated from Purchase Date + Warranty Period) | |
| Warranty Months | Number (e.g., 24) | =IF([Purchase Cost] > 5000, 24, IF([Purchase Cost] > 1000, 12, 6)) |
| Software License Key / URL | Text / Hyperlink | For software assets: stores activation keys or download links with password protection flag |
| Last Usage Date | Date (Manually entered) | Critical for tracking utilization rates and justifying funding renewal |
| Notes / Remarks | Multiline Text | Field for documenting anomalies, modifications, or special handling requirements. |
Formulas Required
- Next Due Date: =IF([Type]="Equipment", IF(ISBLANK([Last Calibration Date]), "", [Last Calibration Date]+365), "")
- Warranty Expiry: =IF([Purchase Date] <> "", [Purchase Date] + ([Warranty Months]*30.44), "")
- Asset Age (Years): =DATEDIF([Purchase Date], TODAY(), "Y")
- Status Alert: Conditional formatting triggers based on warranty expiration or calibration due dates (see below).
Conditional Formatting Rules
- Red Highlight: Warranty expires in ≤ 30 days OR Calibration due in ≤ 7 days.
- Amber Highlight: Warranty expires in ≤ 90 days OR Calibration due in ≤ 30 days.
- Green Highlight: Asset is active, under warranty, and calibrated within the last year.
- Purple Background: For assets with “Loan Status” = Loaned Out (linked to Lending Log).
User Instructions
- Always assign a unique Asset ID. Do not manually edit this field; use the auto-generator script if available, or follow the R-YYYY-NNN convention.
- Update “Last Usage Date” monthly to ensure accurate impact reports for grant renewals.
- Use dropdowns and data validation lists — do not free-type in status, type, or location fields to avoid inconsistencies.
- When an asset is loaned out, record the borrower’s name and return date in the Lending & Borrowing Log. The Main Inventory will auto-link via lookup.
- Print quarterly audit reports using the Dashboard sheet. Export PDF versions for funding agency compliance.
- Delete obsolete records by changing Status to “Archived” — NEVER delete rows outright to preserve audit history.
Example Rows
| Asset ID | Name | Type | Purchase Date | Purchase Cost ($) |
|---|---|---|---|---|
| R-2024-087 | Cryo-Electron Microscope Model X15 | Equipment | 15/03/2024 | $87,500.00 |
| R-2024-199 | PBMC Isolation Kit (Batch#K7) | Reagent | 18/04/2024 | $585.75 |
| R-2024-301 | GATK v.4.5 License (Cloud) | Software | 19/06/2024 | $1,890.00 |
Recommended Charts & Dashboards
The “Usage Analytics Dashboard” sheet must include:
- Asset Type Distribution Pie Chart: Visualizes proportion of equipment, software, reagents.
- Calibration Due Dates Gantt Chart: Timeline view of upcoming maintenance obligations.
- Budget Utilization Bar Graph: Compares spent vs. allocated funds by grant code.
- Status Summary Donut: Real-time count of Active, Loaned, and Archived items.
- Trend Line: Monthly Asset Usage Frequency — Tracks research activity intensity over time for institutional reporting.
This Detailed Inventory Template for Research Management ensures that every piece of equipment and reagent contributes to measurable scientific outcomes. It transforms administrative tracking into a strategic asset intelligence system, enabling institutions to justify funding, reduce losses, and accelerate innovation through data-driven oversight.
