Conditional Formatting Rules

  • Red Highlight: Warranty expires in ≤ 30 days OR Calibration due in ≤ 7 days.
  • Amber Highlight: Warranty expires in ≤ 90 days OR Calibration due in ≤ 30 days.
  • Green Highlight: Asset is active, under warranty, and calibrated within the last year.
  • Purple Background: For assets with “Loan Status” = Loaned Out (linked to Lending Log).

User Instructions

  1. Always assign a unique Asset ID. Do not manually edit this field; use the auto-generator script if available, or follow the R-YYYY-NNN convention.
  2. Update “Last Usage Date” monthly to ensure accurate impact reports for grant renewals.
  3. Use dropdowns and data validation lists — do not free-type in status, type, or location fields to avoid inconsistencies.
  4. When an asset is loaned out, record the borrower’s name and return date in the Lending & Borrowing Log. The Main Inventory will auto-link via lookup.
  5. Print quarterly audit reports using the Dashboard sheet. Export PDF versions for funding agency compliance.
  6. Delete obsolete records by changing Status to “Archived” — NEVER delete rows outright to preserve audit history.
