Formulas Required
- Total Asset Value: In Dashboard, uses =SUM(Inventory_List[Cost_USD]) for overall investment tracking.
- Utilization Rate: =COUNTIFS(Inventory_List[Status], "In Use")/COUNTA(Inventory_List[Asset_ID]) to show % of active assets.
- Expiring Assets Warning: In Inventory_List, column “Days Until Expiry”: =IF([@Expiration_Date]>TODAY(), [@Expiration_Date]-TODAY(), "Expired").
- Project Budget Utilization: Uses SUMIFS to sum costs of assets linked to a specific project and compares it against Budget_Allocated_USD.
- Last Used Age: =TODAY()-[@Last_Used_Date] — triggers conditional formatting if >90 days.
Conditional Formatting
- Red Background: Applied to rows where “Days Until Expiry” < 30 or Status = “Expired”.
- Yellow Highlight: Applied to assets not used in over 90 days (Last_Used_Date + 90 < TODAY).
- Green Fill: For items with Status = “In Stock” and Cost_USD > $5,000 — identifies high-value idle assets.
- Text Color Red: On Dashboards, if Project Budget Utilization > 95%, text turns red to flag overspending risk.
Instructions for the User
- Start by entering all existing research assets into the Inventory_List sheet using unique Asset_IDs.
- Assign each asset to one or more Research_Projects via comma-separated IDs in the Linked_Assets column.
- Whenever an asset is checked out, repaired, or retired, log the change in Status_Updates — this preserves audit history.
- Update the Project status and budget on the Research_Projects sheet as initiatives evolve.
- Check the Dashboards tab weekly to monitor expiring items and underutilized equipment.
- Do not delete rows. Instead, mark assets as “Archived” to preserve historical integrity.
