Formulas Required

  • In the Inventory Master, column Next Calibration Due: =IF([@Last Calibration Date]<>””, [@[Last Calibration Date]]+365, “”) — auto-calculates due date based on annual calibration cycle.
  • In the Borrowing Log, column Overdue?: =IF(TODAY()>[@[Return Date]], “YES”, “NO”)
  • In the Dashboard Summary, total asset value: =SUM(Inventory Master!H:H)
  • Total active projects: =COUNTIFS(Projects & Researchers!L:L,”Active”)
  • Reorder alerts for consumables: Use IF([@Current Stock]≤[@Reorder Level], “LOW”, “”) in Consumables Tracker.

Conditional Formatting

  • Red fill: Assets with status = “Decommissioned” or overdue equipment (Borrowing Log)
  • Yellow fill: Consumables where stock ≤ reorder level
  • Green highlight: Assets assigned to active projects
  • Bold text: High-value assets (> $10,000) in Inventory Master
  • Date warning: Calibration due within 14 days = orange border

Instructions for the User

  1. Start with Projects & Researchers: Enter all current research projects and assign a unique Project ID.
  2. Add inventory items: In Inventory Master, populate assets using dropdowns. Link each to a Project ID.
  3. Log loans: When equipment is loaned, record borrower name, date borrowed, return deadline in Borrowing Log.
  4. Update consumables daily: Reduce stock counts as reagents are used; system alerts when low.
  5. Review Dashboard weekly: Monitor asset utilization % and project budget vs spend trends.
  6. Maintain calibration logs: Update Last Calibration Date after each service to trigger auto-reminders.
