Expense Categories Sheet
This sheet defines allowable expense types and validation rules:
- Category Name
- Max Allowable Per Month ($)

Formulas Required
- VLOOKUP/XYLOOKUP: Auto-fills Project Name and Employee Name based on IDs.
- SUMIFS: Calculates monthly totals per project or category.
- IF + AND: Validates that if “Receipt Attached?” is “No” but category requires one, a warning appears.
- NOW() + TRIM(): Auto-populates Submission Date when user clicks a button linked to VBA macro (optional).
- Totals at bottom of Invoice Log for “Total Submitted This Month.”
Conditional Formatting Rules
- Red Highlight: Apply if Amount exceeds monthly cap defined in Expense Categories.
- Yellow Highlight: Apply if Receipt Attached? = “No” and category requires a receipt.
- Green Highlight: Applied to entries with Status = “Paid.”
- Bold Text: Applied to any expense flagged by the PI for review.
User Instructions
Please follow these steps carefully to ensure your invoice is processed promptly:
- Enter your Employee ID and Name once on the top of the “Invoice Log” sheet. These will auto-fill future entries.
- Select Project ID from the drop-down list — do not type manually to avoid mismatches.
- Choose Expense Category from provided list. The system will validate maximum limits automatically.
- Enter a clear, concise Description (e.g., “Flight: NYC to Geneva for ICAR 2024 conference”).
- Input the exact Amount in USD. Do not use commas — use decimals (e.g., 159.99).
- If a receipt is required, set “Receipt Attached?” to “Yes.” If you upload receipts digitally, note the filename in your project folder.
- Do not edit Status — this field is for management use only.
- Submit your log by saving and emailing the file to [email protected] by the 5th of each month.
