Table Structure: Invoice Log Sheet

The Invoice Log sheet includes the following columns with defined data types:

Date the expense was incurred or invoice received.
Name of the entity providing goods/services (e.g., "Nature Publishing Group", "Amazon", "Local Lab Supplies Co").
Predefined options: Equipment, Software, Books/Subscription, Travel, Materials, Services (editing/translation), Miscellaneous.
Detailed description of the item/service related to research (e.g., "2024 Springer Journal Access - 1 year subscription").
Cost of the item. Use only numeric values.
Cash, Bank Transfer, Credit Card, PayPal, Other.
Paid, Pending, Reimbursed. Used for tracking cash flow.
Name of specific research project if multiple are tracked (e.g., "Urban Pollinator Study 2024").
Additional context, receipt number, or grant reference code.

Conditional Formatting Rules

  • Red highlight: Any row where Status = "Pending" and Date > 30 days ago.
  • Yellow highlight: Any expense over $500 (flagged for review).
  • Green highlight: All rows with Status = "Reimbursed".
  • Bold text in Category column: For entries where Project Name is blank, to prompt user to assign a project.

Instructions for the User

  1. Begin by entering your first research expense under the "Invoice Log". Always complete Date, Vendor, Category, and Amount.
  2. Use the dropdowns in Columns D and G for consistency. This ensures accurate categorization.
  3. Update Status as payments are made or reimbursements received.
  4. The Expense Summary sheet auto-updates—no manual editing required there.
  5. If you use multiple projects, assign Project Names to group expenses by study. Otherwise, leave blank for general research tracking.
  6. Save a copy monthly as "ResearchInvoice_YYYY_MM.xlsx" to maintain archival records.
  7. This template is designed for personal use only—do not modify formulas unless you understand Excel’s syntax. Back up your file regularly.
