Formulas Required

  • In the Repayment_Schedule, the monthly payment is calculated using: =PMT(Settings!$B$2/12, Loan_Registry[Term_Months], -Loan_Registry[Principal_Amount])
  • Interest_Payment uses: =Beginning_Balance * (Settings!$B$2/12)
  • Principal_Payment: =Total_Payment - Interest_Payment
  • Ending_Balance: =Beginning_Balance - Principal_Payment
  • Status in Loan_Registry updates automatically using: =IF(AND(Ending_Balance=0, TODAY()>Last_Due_Date), "Repaid", IF(TODAY()>First_Due_Date AND Ending_Balance>0, "Overdue", "Active"))
  • Conditional logic in Dashboard calculates: Total Outstanding Loans = SUMIFS(Loan_Registry[Principal_Amount], Loan_Registry[Status], “Active”) + SUMIFS(Loan_Registry[Principal_Amount], Loan_Registry[Status], “Overdue”)

Conditional Formatting

  • Overdue Loans: Red background in Status column.
  • Last 3 Payments: Yellow highlight if Payment_Status = "Pending" and Due_Date is within 7 days.
  • PI Contact Risk: Orange border around PI_Name if more than 2 loans are overdue under that PI.

User Instructions

  1. Input new loan details in the Loan_Registry table. Do NOT edit rows below the last entry.
  2. Update Payment_Status and Actual_Payment_Date manually after each repayment is received.
  3. All formulas are linked to Settings sheet; modify interest rates or terms only there, using protected cells.
  4. Use the dropdowns in Status and Funding_Source columns for consistency.
  5. The Project_Dashboard refreshes automatically—refresh data if values appear outdated (Data > Refresh All).
  6. Print or export PDF from Tracking_Log to document audit trail during grant reviews.
