Research Management Monthly Planner – Summary View
The Research Management Monthly Planner – Summary View is a powerful Excel template designed for academic institutions, corporate R&D departments, and independent research teams to streamline the planning, tracking, and high-level reporting of ongoing research activities on a monthly basis. Unlike detailed operational planners, this Summary View offers a concise yet comprehensive dashboard that enables researchers and project leads to monitor progress at a glance while maintaining strategic alignment with institutional goals.
Sheet Structure
The template is composed of four meticulously organized sheets:
- Summary Dashboard: Central hub for KPIs, visual summaries, and monthly performance metrics.
- Monthly Research Log: Detailed row-based entry of all research activities per project.
- Project Repository: Static master list of active research projects with metadata.
- Notes & Instructions: Guidance for users and version control details.
Table Structures & Columns
Monthly Research Log (Main Data Sheet)
| Column | Data Type | Description |
|---|---|---|
| A: Project ID | Text/Reference | Unique identifier linking to Project Repository (e.g., PRJ-2024-001) |
| B: Project Name | Text | Name of the research project (auto-populated via VLOOKUP) |
| C: Research Lead | Text | <Name of the principal researcher or PI |
| D: Activity Type | ||
| E: Start Date | Date | When the activity began (format: DD/MM/YYYY) |
| F: End Date | Date | Completion date of activity (format: DD/MM/YYYY) |
| G: Status | Dropdown (Not Started, In Progress, Completed, Delayed) | Status indicator with conditional formatting |
| H: Estimated Hours | Number | Planned time investment for the task |
| I: Actual Hours | Number | Time actually spent (user-input) |
| J: Milestone Achieved? | Yes/No (Dropdown) | Boolean flag for key deliverables |
| K: Notes | Text | Additional context, challenges, or observations |
The Project Repository contains static project details: Project ID, Title, Department, Funding Source, Start Date (Project), End Date (Projected), Total Budget ($), and Research Category (e.g., Biomedical, AI/ML, Environmental).
Formulas Required
- VLOOKUP in Column B of Monthly Log: Links Project ID to name from Project Repository.
- SUMIFS on Summary Dashboard: Totals hours spent per department, project status, or activity type.
- COUNTIFS: Counts completed milestones, delayed tasks, and projects per category.
- DATEDIF: Calculates duration of activities (End Date – Start Date) for progress insight.
- IF + AND: Flags overdue tasks when End Date is past current month and Status ≠ Completed.
- PivotTables referenced by Dashboard: Dynamically summarize data from Monthly Log for charting.
Conditional Formatting Rules
- Status = “Delayed” → Red background (highlighting risk)
- Status = “Completed” → Light green background
- Actual Hours > Estimated Hours → Yellow highlight (overrun warning)
- Milestone Achieved? = “Yes” → Star icon in adjacent cell via Custom Number Format
- Current month’s entries only: Use a dynamic formula to highlight rows where Start Date falls within the current reporting month.
User Instructions
How to Use:1. Populate the Project Repository with your active research initiatives before entering data.
2. Each month, update the Monthly Research Log by adding rows for every task conducted.
3. Select Activity Type and Status from dropdowns (Data Validation enabled).
4. Input Actual Hours spent; the dashboard auto-calculates variance vs estimates.
5. Mark Milestone Achieved? as “Yes” when a key deliverable is completed.
6. Review the Summary Dashboard for real-time KPIs: % of tasks completed, budget utilization, and time allocation by category.
7. Use the filter buttons on the Dashboard to view data by department or funding source.
Do not modify formulas or structural links unless you are an advanced Excel user.
Example Rows
| Project ID | Project Name | Research Lead | Type | Status |
|---|---|---|---|---|
| PRJ-2024-015 | Neural Network for Early Cancer Detection | Dr. Elena Martinez | Data Analysis | Completed |
| PRJ-2024-031 | <Sustainable Polymer Synthesis Lab Trials | Prof. James Park | Experiment | In Progress (Overdue) |
| PRJ-2024-019 | Air Quality in Urban Schools - Field Study | Dr. Li Wei | Data Collection | Completed |
Recommended Charts & Dashboards (Summary Dashboard)
The Summary Dashboard includes four embedded dynamic charts:
- Pie Chart: Activity Type Distribution – Shows % of time allocated to literature review, experiments, etc.
- Stacked Column Chart: Monthly Progress – Compares planned vs. actual hours per month with variance annotations.
- Doughnut Chart: Project Status Summary – Visualizes the proportion of Completed, In Progress, and Delayed projects.
- Bar Chart: Research Lead Productivity – Ranks researchers by number of completed milestones or hours logged.
All charts are connected to live PivotTables that auto-refresh when new data is added. A KPI summary box displays: “Total Projects This Month,” “% On Track,” and “Avg. Hours per Task.”
