Research Management Monthly Planner (Weekly) - Detailed Excel Template Description

This comprehensive Excel template is specifically designed for academic researchers, laboratory leads, and research project managers who require a structured yet flexible system to plan, track, and optimize their weekly activities across an entire month. As a Research Management tool built on the foundation of a Monthly Planner, this template breaks down the month into individual weekly segments (4–5 weeks per month), enabling granular time allocation, progress tracking, and resource optimization. The Weekly-based structure ensures that researchers can maintain high accountability with short feedback cycles while still aligning tasks to broader monthly objectives.

Sheet Names

  • Dashboard – Central overview of monthly KPIs and visual summaries.
  • Weeekly_Planner – Core worksheet containing the weekly task grid for each week of the month.
  • Resources – Lists personnel, equipment, budget allocation, and lab supplies.
  • Goals_Monthly – High-level monthly research objectives and milestones.
  • Progress_Log – A chronological log of completed tasks, delays, and outcomes.
  • References – Internal documentation links, literature citations, and protocols.

Formulas Required

  • Date_Range (B): Uses =IFERROR(TEXT(DATE(YEAR(TODAY()),MONTH(TODAY()),1)+((A2-1)*7),"mm/dd")&" - "&TEXT(DATE(YEAR(TODAY()),MONTH(TODAY()),1)+((A2-1)*7)+6,"mm/dd"),"Invalid Week")
  • Weekly_Hours_Total (Q): =SUM(N:N) for each week’s time estimates.
  • Completion_Rate (Dashboard!B3): =COUNTIFS(Weeekly_Planner!F:F,"Completed")/COUNTA(Weeekly_Planner!C:C)*100
  • Priority_Weighted_Load (Dashboard!B4): Uses SUMPRODUCT to calculate weighted time based on priority values (High=3, Medium=2, Low=1).
  • Overdue_Tasks_Count (Dashboard!B5): =COUNTIFS(Weeekly_Planner!F:F,"Delayed",Weeekly_Planner!I:I,"<"&TODAY())

Conditional Formatting

  • Tasks with status “Delayed” → Red fill.
  • Prioritized tasks marked as “High” → Bold + Orange border.
  • Actual time exceeding Estimate by >20% → Yellow highlight in Actual_Time column.
  • Weekend work flagged (Sat/Sun) → Light purple background for those cells.

User Instructions

  1. Begin by entering your monthly research goals on the “Goals_Monthly” sheet (e.g., “Complete Phase 1 Data Collection,” “Submit IRB Amendment”).
  2. Each Monday, update Week_Number to reflect the current week. Date_Range auto-updates.
  3. Add new tasks using Task_ID format T-xx and assign priority and time estimates.
  4. Check boxes daily as tasks are completed or planned for that day.
  5. At week’s end, enter Actual_Time spent in column O to compare against estimates.
  6. Update Status to “Completed,” “Delayed,” or “In Progress.”
  7. Use the Dashboard weekly to review progress toward monthly goals. Adjust next week’s plan accordingly.
