Vendors & Contacts Sheet

A static reference table with vendor details including contact person, email, phone, lead time averages (in days), and performance ratings.

Budget Allocation Sheet

Tracks monthly budget limits by category and project. Uses SUMIFS to auto-sum expenditures against allocated caps.

Formulas Required

  • =TEXT(TODAY(),"MMYY") — Used in Order ID generation for the current month.
  • =COUNTIF(OrderLog[Status],"Delivered") — Counts completed orders monthly.
  • =SUMIFS(OrderLog[Actual Cost],OrderLog[Research Project ID],B2) — Total spent per project (used in Budget Allocation).
  • =IF([@Required By] < TODAY() AND [@Status]<>"Delivered","DELAYED",[@Status]) — Auto-updates status if deadline is missed.
  • =VLOOKUP([@Vendor Name],Vendors!$A:$E,2,FALSE) — Pulls vendor contact from reference sheet.

Conditional Formatting Rules

  • Red highlight: Orders with “Delayed” status and required date passed.
  • Yellow highlight: Orders with required date within 3 days of today.
  • Green fill: “Delivered” status entries.
  • Red text on Budget Allocation sheet: When actual spend exceeds 90% of budget allocation per category.

Instructions for the User
