Instructions for the User

  1. Begin by entering your active grants under the “Funding & Grants” sheet. Include exact start/end dates and amounts.
  2. Log every income received from research sources (grants, teaching, fellowships) in “Income Tracker.” Use the dropdowns for consistency.
  3. Record every expense — even small ones like journal access fees or printer ink — in “Expense Tracker.” Always select the correct funding source to track grant compliance.
  4. Update receipts status (Yes/No) to maintain audit readiness for your institution or funder.
  5. Check the “Dashboards & Summary” sheet weekly. It automatically updates with charts and key metrics — use it as your financial dashboard.
  6. If you’re receiving a new grant, add it to the Funding sheet, and adjust future income expectations in your planning.
  7. At year-end, use this tracker to reconcile expenses against grant reports for compliance submissions.
