Essential Formulas
In Budgets & Limits, the "Actual Spent" column uses: =SUMIFS(Research Expenses!D:D, Research Expenses!C:C, [Category Name], Research Expenses!E:E, "Research-Related") for research and similar logic for personal.
"% Used" is calculated as: =IFERROR([Actual Spent]/[Budgeted Amount]*100,"N/A")
In the Dashboard, monthly totals use: =SUMPRODUCT((MONTH(Research Expenses!A:A)=MONTH(TODAY()))*(YEAR(Research Expenses!A:A)=YEAR(TODAY()))*Research Expenses!D:D)
In the Budgets & Limits sheet, “% Used” cells use:
Green: ≤ 70%
Orange: 71–95%
Red: > 95% (critical budget overrun)
In the Research Expenses sheet, any entry with "Personal Funds" as Funding Source is highlighted in yellow to flag potential over-reliance on personal finances.
User Instructions
Start by setting your monthly/quarterly budget limits in the Budgets & Limits sheet under both Research and Personal categories.
Log every research expense (e.g., conference registration, software license) in the Research Expenses sheet with correct funding source. This helps audit grant compliance.
Persistently record personal expenses in the corresponding tab to track lifestyle spending vs. research investment.
Update income entries weekly—especially grants or stipends—as they impact cash flow and budget feasibility.
Review the Dashboard every Friday to assess your financial balance. The red indicators will alert you if you are overspending research funds with personal money.
Never mix personal and research funding in a single transaction unless approved by your institution’s finance office.
