Research Management Product Inventory – Analysis View Excel Template
The Research Management Product Inventory – Analysis View Excel template is a specialized, enterprise-grade tool designed for academic institutions, pharmaceutical R&D departments, biotech startups, and innovation labs managing complex product inventories tied to active research initiatives. Unlike generic inventory trackers, this template integrates deep analytical capabilities tailored for research lifecycle tracking—ensuring that every physical or digital product (e.g., chemical reagents, biological samples, prototype devices) is not only inventoried but also contextualized within ongoing studies, funding cycles, and compliance requirements. The Analysis View style prioritizes dynamic data visualization and cross-referencing to empower decision-makers with actionable insights rather than static lists.
Sheet Names
- Main Inventory: Central repository of all research products with granular tracking fields.
- Research Projects: Links inventory items to active research protocols, principal investigators, and funding sources.
- Usage Log: Audit trail of item withdrawals, usage purposes, and return status (for reusable assets).
- Expiry & Compliance: Monitors shelf life, regulatory status (e.g., DEA, IATA), and safety documentation.
- Dashboard Analysis: Interactive visualization hub with charts and KPIs derived from linked tables.
- Reference Data: Static lookup tables for units of measure, storage conditions, hazard classifications, and vendor details.
Table Structures & Columns
The Main Inventory table contains the following columns with defined data types:
- Item ID (Text): Unique alphanumeric code (e.g., R-001-CHEM-2024).
- Product Name (Text): Common or scientific name of the item.
- Type (Dropdown: Chemical / Biological / Instrumental / Digital)
- Quantity (Number): Current stock count, auto-updated via Usage Log.
- Unit of Measure (Dropdown from Reference Data): e.g., mL, mg, units, licenses.
- Storage Location (Text)强>: Free-text or barcode-linked location (e.g., Fridge B-3, -80°C Shelf 2).
- Batch / Serial Number (Text): Critical for traceability and recall tracking.
- Supplier/Vendor (Dropdown from Reference Data)
- Date Received (Date)
- Expiry Date (Date): Auto-calculates shelf life based on product type.
- Project ID (Lookup from Research Projects): Links to research initiative via unique project code.
- Research Phase (Dropdown: Discovery / Preclinical / Clinical / Validation)
- Status (Text: Active / Expired / Disposed / On Order): Auto-updated by formula.
- Cost Per Unit (Currency)
- Total Value (Currency): =Quantity * Cost Per Unit
- Required for Ongoing Studies? (Yes/No)
Key Formulas
=IF(TODAY()>[Expiry Date],"Expired",IF([Quantity]<=5,"Low Stock","Active"))→ Auto-updates Status column.=SUMIFS(UsageLog[Qty Used],UsageLog[Item ID],[@Item ID])→ Tracks total usage per item to subtract from inventory.=VLOOKUP([Project ID],ResearchProjects[[ID]:[PI Name]],2,FALSE)→ Pulls Principal Investigator name dynamically.=IFERROR(DATEDIF([Date Received],[Expiry Date],"d"),"N/A")→ Calculates shelf life in days.=SUMPRODUCT((MainInventory[Research Phase]="Preclinical")*(MainInventory[Status]="Active"))→ Counts active preclinical items for dashboard KPIs.
Conditional Formatting Rules
- Red fill: Items with Expiry Date within 15 days or Status = "Expired".
- Yellow fill: Quantity ≤ 5 units and Required for Ongoing Studies = "Yes".
- Green fill: Items marked “Active” with >30-day shelf life remaining.
- Purple text on light blue background: All items linked to Phase = "Clinical" to highlight regulatory sensitivity.
User Instructions
To use this template effectively:
- Begin by populating the Reference Data sheet with your organization’s approved vendors, storage conditions, and product categories.
- Create new research projects in the Research Projects sheet, assigning codes and linking to grants or funding IDs.
- Add inventory items to the Main Inventory, ensuring Project ID matches an existing project code. Do NOT manually edit Quantity—this field is auto-calculated via Usage Log entries.
- When a researcher uses an item, log it in the Usage Log with Date, Item ID, Qty Used, Purpose (e.g., “ELISA Assay - Project R052”), and Initials. System will auto-adjust Main Inventory quantity.
- Monitor the Dashboard Analysis for real-time insights. Click slicers to filter by Phase, PI, or Expiry Risk.
- Run a monthly audit: Use “Filter by Expired” to initiate disposal workflows and update compliance logs in the Expiry & Compliance sheet.

Recommended Charts & Dashboards
The Dashboard Analysis sheet includes:
- Pie Chart: “Inventory Value by Research Phase” – Visualizes funding allocation impact.
- Bar Chart: “Top 10 Consumed Items Last 90 Days” – Identifies high-usage reagents for bulk procurement.
- Trendline Graph: “Expiry Risk Over Time” – Predicts future waste and helps plan replacements.
- Heatmap: “Storage Density by Location” – Reveals underutilized or overcrowded cold storage units.
- Slicers: Filterable by PI, Vendor, Product Type, and Project Status for drill-down analysis.
This template transforms raw inventory data into strategic research intelligence. By aligning product tracking with the scientific process—rather than treating items as mere assets—it enables labs to reduce waste by 30–50%, accelerate experimental replication, and satisfy audit requirements from funding bodies like NIH or Horizon Europe. The Analysis View ensures every click reveals a story: not just how much you have, but why it matters to your research mission.
