Research Management Product Inventory - Data Version Excel Template
This comprehensive Excel template is specifically designed for Research Management teams managing a dynamic portfolio of research products—such as laboratory reagents, prototypes, sensor kits, clinical trial materials, or software tools developed in academic or industrial R&D settings. As a Data Version template, it prioritizes structured data integrity over visual formatting to ensure seamless integration with external databases, reporting systems, and audit trails. It is built for scalability and traceability across multidisciplinary research units where inventory accuracy directly impacts project timelines, compliance, and funding accountability.
Sheet Names
- Inventory Master: The central data table containing all product records.
- Location Log: Tracks physical and virtual storage locations (e.g., freezers, cloud servers).
- Usage Log: Records consumption or usage events per product.
- Supplier Registry: Maintains vendor details and procurement history.
- Dashboards: Interactive summary views with charts and KPIs (read-only).
- Metadata: Contains version control, last update date, data owner, and audit trail.

|---|---|---|
| Product ID | Text (Unique) | Automatically generated alphanumeric code (e.g., RMP-2024-001) for traceability. |
| Product Name | Text | < td>Name of the research product (e.g., CRISPR-Cas9 Knockout Kit v3.1).|
| Category | List (Drop-down) | Categorization: Reagents, Instruments, Software, Biological Samples, Consumables. |
| Quantity On Hand | Number (Integer) | < td>Current stock count. Auto-updated via Usage Log.|
| Min Threshold | Number (Integer) | < td>Mandatory reorder level. Triggers alerts when breached.|
| Last Reorder Date | Date | < td>Date of last procurement. Used for expiry and shelf-life calculations.|
| Expiry Date | Date | < td>Critical for biologicals; auto-calculated from batch data.|
| Storage Location ID | Text (Linked to Location Log) | < td>References Location Log table (e.g., FRZ-04-B2).|
| Supplier ID | Text (Linked to Supplier Registry) | < td>Ties product to vendor for accountability and compliance.|
| Status | List (Active/Inactive/On Hold) | < td>Indicates whether product is in active use, retired, or suspended.|

| Research Project ID | Text | < td>Links product to specific research grants or projects (e.g., NIH-R01-2024-XYZ).|
| Data Version | Text (Fixed: "Data Version 1.3") | < td>Mandatory tag identifying template version for audit and upgrade tracking.
Formulas Required
Total Value = [Quantity On Hand] * [Currency Cost]— Auto-populated in Inventory Master.Status Alert = IF([Quantity On Hand] <= [Min Threshold], "Low Stock", IF([Expiry Date] < TODAY(), "Expiring Soon", "OK"))— Used in conditional formatting.Days Until Expiry = [Expiry Date] - TODAY()— Calculated for expiry alerts.Total Inventory Value = SUM([Total Value])— Dashboard summary metric.
Conditional Formatting
- Red Fill: Products with expiry date ≤ 30 days from today.
- Yellow Fill: Quantity On Hand ≤ Min Threshold.
- Grey Text: Items marked as "Inactive" or "On Hold".
- Bold Row: Products linked to active grant projects (filtered via Research Project ID).
Instructions for the User
This template is designed for research administrators, lab managers, and data stewards. Always update the Data Version field in the Metadata sheet before sharing. Never manually edit calculated columns (Total Value, Days Until Expiry). Use drop-downs to select Category or Status to maintain consistency. When adding new products, always assign a unique Product ID using the generator tool on the Metadata sheet. Update Usage Log whenever products are consumed; this automatically reduces inventory counts via VLOOKUP/XLOOKUP functions. Do not delete rows in Inventory Master—mark as “Inactive” instead. All entries must include a Batch Number and Expiry Date for compliance with ISO 13485 or GLP standards.
Example Rows
| Product ID | Product Name | Category | Quantity On Hand | Status | <Expiry Date< | Total Value (USD) |
|---|---|---|---|---|---|---|
| RMP-2024-001 | CRISPR-Cas9 Knockout Kit v3.1 | Reagents | 7 | Low Stock | 2024-12-15 | $875.00> |
| RMP-2024-045 | <Sensor Array Module 5D v1.7 | Instruments | 3 | OK |
Recommended Charts & Dashboards (Dashboards Sheet)
- Pie Chart: % Allocation of Inventory by Category.
- Bar Chart: Total Value by Research Project ID (to track funding utilization).
- Timeline Graph: Expiry Dates over next 90 days.
- KPI Cards: Total Active Items, Low Stock Alerts, Overall Inventory Value.
This template ensures that Research Management teams maintain real-time visibility into their physical and intellectual assets. The Data Version standard guarantees interoperability with institutional ERPs and grant reporting platforms. By integrating rigorous inventory control with research-specific metadata, this solution transforms chaotic lab storage into a strategic asset management system.
