Formulas Required

• Total Value ($) = Quantity Available * Cost per Unit – Automatically calculates inventory value.
• Status = IF(Quantity Available ≤ 5, “Low Stock”, IF(Quantity Available = 0, “Out of Stock”, “In Stock”)) – Dynamic status indicator based on real-time quantities.
• Days Until Expiration = IF(ISBLANK([Expiration Date]), "", [Expiration Date] - TODAY()) – Flags items nearing expiry.
• Total Research Spend by Project = SUMIFS(Total Value, Project Code, [Project Code]) – Aggregates spending per research initiative.
• Overall Inventory Value = SUM(Total Value) – Appears on Summary Dashboard as a KPI.

Conditional Formatting Rules

• Red Fill (Expiring in ≤14 days): Applied to Expiration Date column if date is within two weeks of today.
• Yellow Fill (Low Stock): Applied to Quantity Available if value ≤ 5.
• Green Fill (In Stock): Applied when Quantity Available > 5 and Status = “In Stock”.
• Bold Text + Orange Border: Applied to items with total value exceeding $10,000 to highlight high-cost research assets.

Instructions for the User

1. Begin by populating the Reference Data sheet with your organization’s project codes, vendor lists, and product categories. Use this as a dropdown source in other sheets.
2. In Inventory Master, add new products using the provided template format. Do not delete or reorder columns.
3. Update Quantity Available and Reserved fields whenever inventory changes occur (e.g., after receiving shipments or allocating items for experiments).
4. The Summary Dashboard auto-updates when data in Inventory Master is modified. Refresh formulas if needed using F9.
5. Use the Status Logs sheet to record key events (e.g., “Item RMP-2024-001 was disposed on 2024-11-15 due to expiry”) for audit purposes.
6. Do not edit formulas or pivot tables unless you are an advanced user. Backup your file before making structural changes.
