Research Management Product Inventory Template – Team Use
This comprehensive Excel template is specifically designed for Team Use within academic, pharmaceutical, biotech, or R&D organizations to streamline the tracking and management of physical and digital research assets under a structured Product Inventory framework. While traditional inventory systems focus on retail or manufacturing goods, this template adapts those principles to the unique needs of scientific research teams—tracking reagents, lab equipment, software licenses, biological samples, protocols, and data sets as “products” in a controlled inventory system. The purpose is to ensure accountability, reduce redundancy in procurement, prevent loss of critical materials during project transitions, and enable seamless collaboration across multidisciplinary research teams.
Sheet Names
- Main Inventory – Central database of all research products
- Issuance Log – Records who borrowed/used items and when
- Reorder Tracker – Automatically flags low-stock items for restocking
- Project Mapping – Links inventory to active research projects and principal investigators (PIs)
- Dashboards – Visual summary of inventory health, usage trends, and team performance metrics
- Settings & Guidelines – Contains lookup tables, unit definitions, approval workflows, and user instructions
Table Structures & Columns with Data Types
Main Inventory Sheet:
| Column | Data Type | Description |
|---|---|---|
| Product ID | Text (Unique) | Auto-generated code: e.g., R-2024-001 (Research-YYYY-NNN) |
| Name | Text | Name of item (e.g., "CRISPR-Cas9 Kit, Addgene #108754") |
| Type | Dropdown (Category) | <Reagent, Equipment, Software License, Biological Sample, Protocol Document |
| Supplier | Text / Lookup | < td>Name of vendor or internal source (e.g., Thermo Fisher, Internal Core Lab)|
| Batch/Lot Number | Text | < td>Persistent identifier for traceability (critical for reagents/samples)|
| Quantity | Number (Integer) | < td>Total units on hand|
| Units of Measure | Dropdown | < td>mL, mg, Units, Licenses, vials, etc.|
| Date Received | Date | < td>When item was added to inventory|
| Expiration Date | Date (Optional) | < td>For perishables and reagents; triggers alerts 30 days prior|
| Storage Location | Text / Lookup | < td>Fridge -20°C, Freezer -80°C, Room Temp Cabinet A4, Cloud Server Z1|
| Status | Dropdown (Active / Discontinued / Expired) | < td>Automatically updated by formula based on expiration and usage|
| PI Responsible | Text / Lookup (Team Member) | < td>Name of the principal investigator or team lead accountable for this item|
| Last Updated | Date/Time (Auto) | < td=Timestamp when record was last modified
The other sheets mirror relational data structures: Issuance Log links Product ID to Team Member, Project Code, Date Borrowed, Return Status; Project Mapping connects Project Name with associated Product IDs and funding source; Reorder Tracker uses formulas to flag products where Quantity ≤ Reorder Threshold (defined in Settings).
Formulas Required
- Status Auto-Update: =IF(TODAY()>[Expiration Date],"Expired",IF([Quantity]=0,"Discontinued","Active"))
- Reorder Flag: =IF(AND([Quantity]>0, [Quantity]≤[Reorder Threshold]),"REORDER NEEDED","In Stock")
- Total Value: =SUMPRODUCT([Quantity],[Unit Cost]) – calculates total inventory value if cost data is entered
- Lookup PI by Project: VLOOKUP or XLOOKUP to auto-fill PI name from Project Mapping sheet when Product ID is selected in Issuance Log.
Conditional Formatting
- Red fill: Items with expiration date within 15 days or status = "Expired"
- Yellow fill: Quantity ≤ Reorder Threshold (e.g., 3 units remaining)
- Green fill: All items in "Active" status with no expiration
- Bold text + red border: Any product assigned to a closed project but still listed as active
User Instructions
- Only authorized team members may update inventory; use the “Team Member” dropdown in Settings to define permissions.
- Every time a product is used, issued, or returned, log it in the Issuance Log—include project code and date.
- If an item is expired or depleted, change its Status to "Discontinued" or "Expired" manually; do not delete records for audit trail.
- Use the Project Mapping sheet to link new research projects to required inventory. This helps with cost allocation and compliance reporting.
- Weekly: Review the Dashboards tab for low-stock alerts and expired item warnings. Notify lab manager if reorder thresholds are reached.
- All data entry must be completed by EOD on the day of use. Late entries delay inventory accuracy and risk protocol violations.
Example Rows
| R-2024-087 | TRIzol Reagent | Reagent | Sigma-Aldrich | B349876A12 | 500 mL |

Recommended Charts & Dashboards
- Pie Chart: Distribution of inventory by type (Reagent, Equipment, etc.) – Shows resource allocation.
- Bar Graph: Monthly usage trends per team member or project – Identifies high-consumption areas.
- Gauge Chart: Inventory health score (% of items in "Active" status).
- Heat Map: Storage locations colored by % of expired/low-stock items – Pinpoints problematic zones.
- List Filtered Table: “Expiring within 30 Days” – Auto-refreshing list triggered by date formulas.
This template transforms chaotic, siloed research asset tracking into a collaborative, traceable, and audit-ready system. By embedding the principles of Product Inventory management into Research Management workflows—and designed explicitly for Team Use—it reduces waste, accelerates project timelines, and ensures compliance with institutional and funding body requirements. Regular updates by team members maintain integrity; dashboards empower leaders to make data-driven decisions about procurement, collaboration, and resource reallocation.
