Research Management Profit Tracker – Employee View

The Research Management Profit Tracker – Employee View is a specialized Microsoft Excel template designed to empower individual researchers and project team members to monitor, report, and optimize the financial performance of their research activities. Unlike traditional institutional profit trackers that focus on aggregate organizational metrics, this template is purpose-built for Employee View, giving each researcher autonomy over tracking time allocation, funding utilization, grant expenditures, deliverables output, and indirect revenue contributions—enabling data-driven personal accountability within a broader Research Management framework. The template transforms raw research activity into actionable financial insights without requiring advanced Excel skills.

Sheet Structure

The template contains four primary sheets:
  1. Project Log
  2. Funding Tracker
  3. Expense & Time Allocation
  4. Dashboards & Reports

1. Project Log Sheet

This sheet serves as the central hub for recording all active and completed research projects under the employee’s purview. Columns: - Project ID (Text): Unique identifier (e.g., R-2024-017) - Project Title (Text): Full project name - Funding Source (Text): Grant agency, industry partner, or internal fund - Start Date (Date): Project commencement - End Date (Date): Planned or actual completion - Total Budget ($USD) (Currency): Authorized funding amount - Current Status (Dropdown: Active/On Hold/Closed/Completed)> - Revenue Generated ($USD) (Currency): Income from publications, licensing, spin-offs - Profit Margin (%) (Formula): Calculated as `(Revenue Generated - Total Expenditure)/Total Budget * 100`

2. Funding Tracker Sheet

Tracks inflows and outflows tied to each project. Columns: - Funding Entry ID (Text): Auto-generated (e.g., F-2024-101) - Project ID (Linked to Project Log): Dropdown from Project Log - Date Received/Spent (Date) - Type (Dropdown: Inflow - Grant / Outflow - Expense) - Description (Text): Brief note on transaction purpose - Amount ($USD) (Currency) - Currency Code (Text: USD, EUR, GBP etc.) - Budget Category (Dropdown: Personnel / Equipment / Travel / Materials / Overhead)

3. Expense & Time Allocation Sheet

Enables granular tracking of time and cost distribution. Columns: - Date (Date) - Project ID (Linked to Project Log) - Hours Worked (Decimal): e.g., 7.5 hours on Project R-2024-017 - Role (Text: PI, Co-I, Research Assistant, Data Analyst) - Hourly Rate ($USD) (Currency): Pre-defined based on employee rank or institutional policy - Total Labor Cost ($USD) (Formula): `=Hours Worked * Hourly Rate` - Non-Labor Expense ($USD) (Currency): e.g., software license, consumables - Total Daily Cost ($USD) (Formula): `=Total Labor Cost + Non-Labor Expense`

4. Dashboards & Reports Sheet

Visual summary populated by formulas and linked charts. Includes: - Project Profitability Radar Chart - Monthly Cash Flow Line Graph - Budget Utilization Gauge (KPI) - Top 5 Projects by ROI (Table)

Essential Formulas

  • Profit Margin (Project Log): `=(E:E - SUMIF(Funding Tracker!B:B, A2, Funding Tracker!F:F))/D2` where E:E is Revenue and F:F is Expenditure.
  • Total Labor Cost (Expense Sheet): `=[@Hours Worked]*[@Hourly Rate]`
  • Running Project Balance in Funding Tracker: `=SUMIFS(Funding Tracker!F:F, Funding Tracker!B:B, [@Project ID], Funding Tracker!D:D, "Inflow") - SUMIFS(Funding Tracker!F:F, Funding Tracker!B:B, [@Project ID], Funding Trainer!D:D, "Outflow")`
  • Monthly Profit Summary: `=SUMIFS(Expense & Time Allocation!I:I, Expense & Time Allocation!A:A,">="&DATE(YEAR(TODAY()),MONTH(TODAY()),1), Expense & Time Allocation!A:A,"<"&EOMONTH(TODAY(),0))`

Conditional Formatting

  • Profit Margin < 0%: Red fill in Project Log.
  • Budget Utilization > 95%: Yellow highlight in Funding Tracker.
  • Hours Worked > 10/day: Orange border on Expense Sheet to flag potential burnout.
  • Project Status = "Completed": Light green background in Project Log.

User Instructions

  1. Begin by entering your project details in the Project Log. Use unique IDs and assign accurate start/end dates.
  2. For every funding inflow or expense, log it in the Funding Tracker, linking to the correct Project ID.
  3. Daily or weekly, record time spent per project in the Expense & Time Allocation sheet. Update hourly rates if your role changes.
  4. The Dashboard Sheet auto-updates; review weekly for ROI trends and budget deviations.
  5. If profit margin falls below 10% for two consecutive months, initiate a project audit using the "Project Review" template provided in the Help tab (hidden by default).
  6. DO NOT modify column structure or protected cells—use only designated dropdowns and input fields.
