Research Management Project Plan Template – Team Use

This comprehensive Excel template is purpose-built for Research Management in a collaborative Team Use environment, structured as a dynamic Project Plan. Designed to streamline the planning, tracking, and reporting of academic, scientific, or industrial research initiatives across multi-disciplinary teams, this template ensures transparency, accountability, and efficiency. Whether your team consists of scientists, data analysts, lab technicians, or project coordinators — this tool unifies workflows into a single shared source of truth.

Sheet Names

  • Project Overview – Summary dashboard with key metrics and high-level timelines.
  • Tasks & Milestones – Core task tracking table with dependencies, owners, and deadlines.
  • Resources & Budget – Allocation of personnel, equipment, funds, and consumables.
  • Risks & Mitigations – Log for identifying potential risks and planned responses.
  • Data Collection Logs – Structured input for experimental results and observations.
  • Reports & Deliverables – Timeline of reports, publications, and submissions with status.
  • Dashboards – Interactive charts and visual summaries pulled from other sheets.

Table Structures & Column Definitions

The primary table is in the Tasks & Milestones sheet, structured as follows:

< < < < < < < <
Column Name Data Type Description
ID Number (Auto-increment) Unique identifier for each task.
Task Name Text Description of the research activity (e.g., "Conduct PCR amplification on Sample Set A").
Description Text (Multi-line) Detailed instructions, objectives, or protocols.
Owner Text (Drop-down) Name of team member responsible. Pulls from a named range in the "Resources" sheet.
Department Text (Drop-down) E.g., Biology, Bioinformatics, Chemistry — for resource allocation tracking.
Milestone Text (Yes/No) Flag whether task is a key milestone (e.g., "Prototype completed", "Paper submitted").
Start Date Date Scheduled start of the task.
End Date Date Planned completion date.
StatusText (Drop-down: Not Started, In Progress, Blocked, Completed) Status indicator synced with conditional formatting.
DependencyText (List of Task IDs)Comma-separated list of preceding task IDs required to begin this one.
PriorityText (Drop-down: Low, Medium, High, Critical)Risk-based prioritization for team focus allocation.
Estimated Hours Number (Decimal) Estimated labor hours required to complete task.
Actual Hours Number (Decimal) User-updated field reflecting real effort logged. Used for forecasting future tasks.

Formulas Required

  • In the Dashboards sheet: =COUNTIFS('Tasks & Milestones'!E:E,"Completed")/COUNTA('Tasks & Milestones'!E:E) → % of tasks completed.
  • =SUMPRODUCT(('Resources & Budget'!D:D="Biology")*('Resources & Budget'!F:F)) → Total budget spent by department.
  • In the Tasks & Milestones sheet: =IF(AND(TODAY()>[End Date],[Status]<>"Completed"),"OVERDUE",IF([Status]="Completed","On Track","Pending")) → Auto-calculates project health.
  • =VLOOKUP([Owner],Resources!A:E,3,FALSE) → Pulls department and contact info based on owner name.
  • Project Overview: =SUMIFS('Tasks & Milestones'!N:N,'Tasks & Milestones'!E:E,"In Progress") → Total hours currently in progress.

Conditional Formatting Rules

  • Status Column: Green = Completed, Yellow = In Progress, Red = Overdue/Blocked.
  • Priority Column: Red background for Critical, Orange for High, Light Yellow for Medium.
  • End Date Column: If date is past today and status ≠ “Completed”, row highlights in dark red with white text.
  • Budget Usage (Resources Sheet): Cells exceeding 90% of allocated budget turn orange; >100% turn red.

Instructions for the User

Upon opening this template:

  1. Customize team names and departments: Update the named ranges in the "Resources" sheet under "Team List".
  2. Create your research plan: Populate tasks in the “Tasks & Milestones” sheet. Use drop-downs for consistency.
  3. Assign owners and deadlines: Ensure every task has a single owner. Avoid overlapping ownership to prevent confusion.
  4. Update weekly: Team members must update their "Actual Hours" and "Status" every Friday via the shared file (OneDrive/SharePoint).
  5. Risk log: Add any experimental failures, equipment delays, or regulatory issues to the “Risks & Mitigations” sheet. The project lead should review this weekly.
  6. Report deliverables: Log all papers drafted, conference submissions, or data packages in the “Reports & Deliverables” sheet with target and actual dates.

Example Rows (Tasks & Milestones)

Recommended Charts & Dashboards

  • Gantt Chart (Bar Chart): Generated from “Tasks & Milestones” using conditional formatting and stacked bars to show start/end dates — critical for visualizing task overlaps.
  • Progress Dashboard Pie Chart: % of tasks completed vs. pending, with breakdown by department.
  • Budget Burn Rate Line Graph: Tracks monthly spending against allocated funds over time.
  • Risk Heat Map (Color-coded Grid)Impact (High/Med/Low) vs Likelihood — automatically populated from Risks sheet.
