- “Progress %” uses a weighted average formula based on completed milestones in Timeline & Milestones sheet.
- In the Dashboard, KPIs use formulas like:
- Total Active Projects:
=COUNTIFS(Projects Tracker!E:E, "In Progress") - On-Time Completion Rate:
=SUMPRODUCT((Projects Tracker!G:G<>"")*(Projects Tracker!F:F>=Projects Tracker!G:G))/COUNTA(Projects Tracker!F:F)
- Total Active Projects:
Conditional Formatting Rules
- Status Column: Green for “Completed”, Yellow for “In Progress”, Red for “On Hold”.
- Budget Remaining: Red if below 10%, Amber if 10–25%, Green above 25%.
- Risk Level: Background color coded: Light red (High), orange (Medium), light green (Low).

Instructions for the User
How to Use This Template:
- In the Team Members sheet, add all researchers with roles and departments.
- Create new projects in the Projects Tracker. Ensure Project ID is auto-generated or manually entered in RES-YYYY-XXX format.
- Update budget allocations on the Funding & Budgets sheet. Link expenditures to corresponding Project IDs.
- In the Timeline & Milestones sheet, define key deliverables and deadlines for each project. The Dashboard will auto-calculate progress based on completed milestones.
- The Dashboard refreshes automatically when data is saved. Use filters to drill down by Research Area, PI, or Risk Level.
- Never edit the Dashboard sheet directly—all data is pulled via formulas and linked charts.
Example Rows
| Project ID | Title | P.I. | Status | Budget ($) |
|---|---|---|---|---|
| RES-2024-015 | AI-Powered Diagnostics in Rural Clinics | Dr. Elena Rodriguez | In Progress | $85,000 |
| RES-2023-127 | <Carbon Capture Materials from Waste Plastics | Dr. James Wong | ||
| RES-2024-048 |
