Research Management Project Template – Dashboard View

This Research Management Project Template – Dashboard View is a comprehensive, dynamic Excel template designed for academic institutions, corporate R&D departments, and independent research teams to centrally track, analyze, and visualize the progress of multiple research projects. Built with a modern dashboard interface in mind, this template consolidates critical project data into visually intuitive charts and summary tables—enabling leadership to make timely decisions based on real-time metrics without sifting through raw spreadsheets. The template integrates structured data entry forms with automated formulas, conditional formatting rules, and interactive visualizations to provide a single source of truth for all research activities.

Sheet Structure

The template is organized into five main sheets:
  1. Dashboard: The central hub displaying KPIs, progress summaries, and embedded charts.
  2. Projects Tracker: Core data table logging all active and completed research projects.
  3. Team Members: Repository of researcher roles, departments, and availability.
  4. Funding & Budgets: Tracks allocated budgets, expenditures, and remaining balances per project.
  5. Timeline & Milestones: Gantt-style view of project phases with deadlines and dependencies.

Formula Requirements

  • In the Projects Tracker, “Spent to Date” uses SUMIF() to pull expenditures from the Funding & Budgets sheet.
  • Budget Remaining = Project Budget - Spent to Date (simple subtraction).
  • “Progress %” uses a weighted average formula based on completed milestones in Timeline & Milestones sheet.
  • In the Dashboard, KPIs use formulas like:
    • Total Active Projects: =COUNTIFS(Projects Tracker!E:E, "In Progress")
    • On-Time Completion Rate: =SUMPRODUCT((Projects Tracker!G:G<>"")*(Projects Tracker!F:F>=Projects Tracker!G:G))/COUNTA(Projects Tracker!F:F)

Conditional Formatting Rules

  • Status Column: Green for “Completed”, Yellow for “In Progress”, Red for “On Hold”.
  • Budget Remaining: Red if below 10%, Amber if 10–25%, Green above 25%.
  • Risk Level: Background color coded: Light red (High), orange (Medium), light green (Low).
  • Progress %: Gradient fill from red (<30%) to green (>90%).

Instructions for the User

How to Use This Template:

  1. In the Team Members sheet, add all researchers with roles and departments.
  2. Create new projects in the Projects Tracker. Ensure Project ID is auto-generated or manually entered in RES-YYYY-XXX format.
  3. Update budget allocations on the Funding & Budgets sheet. Link expenditures to corresponding Project IDs.
  4. In the Timeline & Milestones sheet, define key deliverables and deadlines for each project. The Dashboard will auto-calculate progress based on completed milestones.
  5. The Dashboard refreshes automatically when data is saved. Use filters to drill down by Research Area, PI, or Risk Level.
  6. Never edit the Dashboard sheet directly—all data is pulled via formulas and linked charts.
