Simple Research Management Project Template for Excel

This document provides a comprehensive description of a Simple Research Management Project Template, designed specifically for researchers, academic teams, and lab managers who need an intuitive, lightweight, yet functional tool to track research projects from initiation to completion. The template is built using Microsoft Excel and adheres strictly to the principles of simplicity—avoiding overcomplication while preserving essential functionality required in academic and applied research environments.

Overview

The Simple Research Management Project Template is structured to help users organize, monitor, and report on multiple ongoing research initiatives with minimal administrative overhead. Unlike complex enterprise systems, this template prioritizes ease of use, accessibility for non-technical users, and rapid setup—making it ideal for small research teams or individual investigators managing several concurrent projects. The design focuses exclusively on core project management needs: task tracking, timelines, resource allocation, milestones, and progress updates—all within a single Excel workbook.

Sheet Names

The template consists of four clearly labeled sheets:

  • Project Registry – Central hub listing all active and completed research projects.
  • Tasks & Milestones – Detailed breakdown of tasks per project, with deadlines and status tracking.
  • Resources & Budget – Track personnel, equipment, consumables, and financial allocation per project.
  • Summary Dashboard – Visual overview with charts and key metrics derived from the other sheets.

  • Summary Dashboard uses COUNTIF(), SUMIFS(), and AVERAGEIFS() to calculate project counts by status, total spend per department, and average duration.

Conditional Formatting

  • In Project Registry: Projects with status “Delayed” or “On Hold” highlight in orange. “Completed” highlights in green.
  • In Tasks & Milestones: Tasks due within 3 days turn red; overdue tasks blink (red background + bold text).
  • In Resources & Budget: If Spent exceeds 90% of Budget, cell turns yellow; if exceeded, turns red.

Instructions for the User

1. Begin by entering your project in the Project Registry sheet. Assign a title, dates, and status.
2. For each task within a project, navigate to Tasks & Milestones and use the dropdown to link it to its Project ID.
3. Log resources under Resources & Budget—enter quantities and unit costs; totals auto-calculate.
4. Update statuses weekly using the dropdown menus for accurate tracking.
5. View real-time summaries on the Dashboard sheet: bar charts show progress by status, pie chart displays budget allocation distribution, and a timeline graphic (Gantt-style) visualizes task durations.
