Research Management Project Template – Summary View
This Excel template is a purpose-built Project Template designed specifically for Research Management, offering a clean, intuitive, and data-rich Summary View. It enables research teams, principal investigators, lab managers, and academic administrators to track the progress of multiple concurrent research projects in a consolidated dashboard format. Unlike detailed tracking sheets that overwhelm users with granular data, this template prioritizes high-level visibility while retaining essential metrics for decision-making. The design ensures that stakeholders can quickly assess project health without navigating through dozens of tabs or columns.
Sheet Names
The template contains four primary sheets:
- Dashboard – Central summary view with charts, KPIs, and status indicators
- Projects Overview – Master list of all research projects with key metadata and metrics
- Milestones & Deliverables – Timeline-based tracking of project phases and outputs
- Risks & Issues Log – Central repository for challenges affecting research progress
Table Structures and Columns with Data Types
Projects Overview Sheet:
| Column Name | Data Type | Description |
|---|---|---|
| Project ID | Text (Unique) | Alphanumeric code identifying each project (e.g., R-2024-001) |
| Title | Text | Name of the research project |
| Principal Investigator | Text | < td>Name of lead researcher td > tr >|
| Date | Projected or actual start date of research phase | |
| End Date | Date | Target completion date (auto-calculated from milestones) |
| Status | Dropdown: Not Started / In Progress / Delayed / Completed / On Hold | Current project status with color coding via conditional formatting |
| Budget Used (%) | Percentage (Number) | % of allocated budget consumed (calculated) |
| Milestones Completed | Number | < td > Number of completed milestones out of total td > tr >|
| Dropdown: Low / Medium / High | Assessed risk based on issues, delays, or resource gaps | |
| Last Updated | Date/Time (auto-filled) | Timestamp of last edit using NOW() function |
Formulas Required
- Budget Used (%) = SUM(Expenses)/Budget Allocation*100 – Tracks spending efficiency.
- Status Indicator = IF(AND([Milestones Completed]=[Total Milestones], [End Date]<=TODAY()), "Completed", IF([End Date]
– Automatically assigns status based on progress and deadlines. - Last Updated = NOW() – Auto-populates the timestamp when the cell is edited (requires VBA or manual refresh).
- Risk Level Calculation = IF(COUNTIF(RisksLog[Project ID], [Project ID])>=3, "High", IF(COUNTIF(RisksLog[Project ID], [Project ID])>=1, "Medium", "Low")) – Dynamically updates risk level based on number of logged issues.
- Milestones Completion Rate = ([Milestones Completed]/[Total Milestones])*100 – Displays as a percentage on Dashboard.
Conditional Formatting Rules
- Status Column: Green for "Completed", Yellow for "In Progress", Orange for "Delayed", Red for "On Hold"
- Budget Used (%): Red if >90%, Amber if 70–89%, Green if ≤69%
- Risk Level: Red fill for “High”, Orange for “Medium”, Light green for “Low”
- Row Highlighting: Entire row turns light gray if project is marked "On Hold"
Instructions for the User
To use this template effectively:
- Begin by populating the Projects Overview sheet with your research projects. Each project must have a unique ID and clear start/end dates.
- In the Milestones & Deliverables sheet, link each milestone to its corresponding Project ID using drop-downs. Set target dates and completion flags.
- Log any risks or delays in the Risks & Issues Log. Include severity, impact, and mitigation plan.
- The Dashboard auto-updates based on data entered above. Refresh pivot tables and charts via Data > Refresh All if needed.
- Update the template weekly to ensure accuracy. Use the “Last Updated” column to track when entries were last modified.
- Assign each project owner responsibility for maintaining their own row’s status, budget, and milestones.
