All date fields use Excel’s DATE data type. “Duration” is auto-calculated using =DATEDIF(Start,End,"d"). “% Complete” is manually updated but triggers conditional formatting and progress bars. Dependencies are entered as comma-separated Task IDs (e.g., "T-001,T-005"). Risk Level uses a drop-down list (Low/Medium/High) with color-coded validation.

Formulas & Automation

  • Auto-Gantt Bars: Conditional formatting with data bars applied to a hidden column based on % Complete and duration ratios.

User Instructions

  1. Begin by populating the Project Overview tab with your project title, PI name, funding source, start/end dates, and primary research objective.
  2. In Timeline Master, use Task ID prefixes to distinguish task types (T- = Task; M- = Milestone; C- = Checkpoint).
  3. Link dependencies strictly using the exact Task ID from the same sheet — avoid manual entry errors.
  4. Update % Complete weekly. Use dropdowns in Resources and Deliverables sheets to maintain data integrity.
  5. Upload supporting documents (ethics approval, protocol PDFs) via hyperlink in column “Supporting Docs” in Timeline Master or Deliverables sheet.
  6. The Project Overview dashboard auto-updates when any data changes — refresh via Ctrl+Alt+F9 if not visible.
