Key Formulas & Automation

  • In the Project List, =SUMIFS(Resource Tracker!BudgetSpent, Resource Tracker!ProjectID, [@[Project ID]]) auto-populates budget spent.
  • =IF([@End Date (Planned)] flags overdue projects.
  • Budget Utilization: =IFERROR([@Budget Spent]/[@[Budget Allocated]], 0)
  • Progress % is calculated by averaging the last three Status Update entries using AVERAGEIFS.

Conditional Formatting Rules

  • Red fill: Projects with budget utilization >110% or progress <30% for over 60 days.
  • Yellow fill: Status "On Hold" for more than 3 weeks.
  • Green fill: Projects marked “Completed” or with progress ≥95% and budget ≤105%.
  • Bold text on Risk & Issues column: If value is not blank, indicating active concern.

User Instructions

  1. Begin by populating the Project List with all current research initiatives. Use the dropdowns for Status and Priority.
  2. Link team members via the Team Allocation sheet using Project ID as a lookup key—avoid duplicate entries.
  3. Each project lead must submit weekly updates on the Status Updates sheet, selecting their project from the dropdown menu.
  4. The Resource Tracker is updated by finance or administrative staff entering costs per category (personnel, supplies, equipment).
  5. DO NOT edit formulas in the Project Dashboard. All data flows dynamically from other sheets.
  6. Use the slicers on the Project Dashboard to filter by PI, Status, or department for targeted analysis.
