Table Structures & Columns (Supply Inventory Sheet)
The core table in the “Supply Inventory” sheet contains the following structured columns:
| Column Name | Data Type | Description |
|---|---|---|
| Item ID | Text (Auto-generated) | Unique alphanumeric identifier (e.g., RSM-2024-001). |
| Item Name | Text | Name of supply item (e.g., “PCR Primers, Forward – 10 nmol”). |
| Category | Dropdown List | Categorizes items: Reagents, Consumables, Equipment Parts, Safety Gear, Software Licenses. |
| Unit of Measure | Text (Dropdown) | < td>e.g., mL, Units, Boxes, Pieces.|
| Current Stock | Number (Integer) | < td>Quantity currently on hand.|
| Safety Threshold | Number (Integer) | < td>Minimum level before reorder is triggered.|
| Last Replenished | Date | < td>Date when stock was last updated or ordered.|
| Expected Expiry Date | Date | < td>For time-sensitive items (e.g., enzymes, antibodies).|

Formulas Required
- Total Value ($):
=D2*J2(Current Stock × Cost per Unit) - Status:
=IF(K2<TODAY(),"Expired",IF(C2<=E2,IF(C2=0,"Out of Stock","Low"),"In Stock"))
Where K2 = Expected Expiry Date, C2 = Current Stock, E2 = Safety Threshold. - Requisition Log Auto-Population: When Status changes to “Low” or “Out of Stock”, a VBA-triggered alert (optional) or conditional logic can auto-populate the Requisition Log with item details and date.
Conditional Formatting
To enhance visual management, the following rules are applied:
- Red Fill: If Status = “Expired” OR (Current Stock = 0)
- Amber Fill: If Current Stock ≤ Safety Threshold AND Status ≠ “Expired”
- Green Fill: If Current Stock > Safety Threshold
- Bold Text on Expiry Dates: Dates within 30 days of today are bolded.
User Instructions
How to Use This Editable Research Management Supply List Template:
- Update Inventory Daily: After each experiment or shipment receipt, update “Current Stock” and “Last Replenished.”
- Use Dropdowns for Consistency: Select category and vendor from predefined lists to maintain data integrity.
- Enter Expiry Dates Accurately: Critical for biological reagents – this triggers expiry warnings.
- Add New Items via Supplier Directory: Always ensure new vendors are added to the “Supplier Directory” sheet first before selecting them in the main table.
- Check Dashboard Weekly: The Dashboards & Analytics sheet updates automatically and shows spending trends, top 10 consumed items, and low-stock alerts.
- Do Not Modify Formulas or Structure: While editable for data entry, avoid deleting columns or altering formulas. Use “Save As” to create custom versions.
