Research Management To-Do List – Client View Excel Template
This Excel template is a purpose-built, client-centric tool designed for Research Management teams to communicate progress, assign tasks, and maintain transparency with external stakeholders. As a To-Do List, it enables clear tracking of research milestones and deliverables while maintaining the clarity and professionalism expected in the Client View. Unlike internal dashboards filled with jargon or administrative details, this template is stripped down to client-relevant information only—focusing on outcomes, deadlines, ownership, and status updates. It ensures clients remain informed without being overwhelmed by operational noise.
Sheet Names
- Client To-Do List – The primary view showing all active research tasks in a clean, sortable table format.
- Status Summary – A dashboard-style summary sheet with KPIs, progress charts, and overall health indicators.
- Task History (Hidden) – An internal log of task changes for audit purposes; not visible to clients but used internally to maintain version control.
Table Structure & Columns (Client To-Do List Sheet)
The main table on the “Client To-Do List” sheet contains the following columns with defined data types:| Column Name | Data Type | Description |
|---|---|---|
| Task ID | Text (e.g., RT-2024-001) | Unique identifier for each research task; generated automatically via formula. |
| Description | Text | Brief, client-friendly description of the task (no technical jargon). |
| Text (Drop-down) | ||
| Status | Text (Drop-down) | |
| Target Date | Date | |
| Priority | Text (Drop-down) | |
| % Complete | Number (0–100%) | |
| Last Updated | Date/Time (Auto) | |
| Deliverable | Text |
Formulas Required
- Task ID Auto-Generation: =“RT-”&YEAR(TODAY())&“-”&TEXT(ROW()-1,”000”) — placed in cell A2 and dragged down. This creates a unique, date-coded task number based on row position.
- Last Updated Auto-Fill: =IF(COUNTA(B2:H2)>0,NOW(),"") applied to column H. Uses Excel’s NOW() function only when any relevant data is entered in the row.
- Progress Bar (Visual): In column I, use a data bar conditional formatting rule based on the % Complete values to create an in-cell progress indicator.
- Status Summary Totals: On Status Summary sheet: =COUNTIF('Client To-Do List'!E:E,"Completed") for total completed tasks; =AVERAGE('Client To-Do List'!G:G) for average completion rate.
Conditional Formatting Rules
- Status Color Coding:
- Completed → Green fill (#d5f5e3)
- In Progress → Yellow fill (#fffacd)
- On Hold → Orange fill (#ffeaa7)
- Not Started → Gray fill (#ecf0f1)
- Prioritized Highlight: Rows with Priority = “High” get a bold red border and white text for instant visual emphasis.
- Deadline Warning: If Target Date is within 3 days and Status ≠ Completed, row highlights in light red (#ffcccc).
Instructions for the User (Client View)
This template is designed for clients to monitor research progress without requiring Excel expertise. Simply open the file and navigate to “Client To-Do List.” All data updates occur automatically behind the scenes. Do not edit columns A, H, or I—they are system-generated. You may filter tasks by Status or Priority using the dropdown arrows in row 1 (Filters enabled). For visual progress tracking, use the “Status Summary” tab which displays a donut chart showing % of tasks completed and a bar chart comparing High/Medium/Low workload distribution. If you have questions about a task, contact your Research Manager directly; no changes are needed here. This template is updated weekly by the research team.
