Quarterly Research Management To-Do List Excel Template

This comprehensive Excel template is specifically designed for academic institutions, corporate R&D departments, and research teams managing complex projects on a quarterly basis. As a specialized To-Do List within the broader context of Research Management, this template enables systematic tracking of milestones, tasks, deadlines, responsibilities, and progress across all research activities over a three-month cycle. It transforms chaotic task lists into structured workflows that align with institutional reporting calendars and funding cycles.

SHEET NAMES

  • Quarterly_Task_List — Primary worksheet containing all active tasks, deadlines, assignees, and status indicators.
  • Project_Summary — Dashboard summarizing task completion rates, overdue items, team workload distribution, and quarterly progress trends.
  • Resources_and_Budget — Tracks allocated personnel hours and budget expenditure per research sub-project.
  • Status_Updates — Log for weekly progress notes and milestone confirmations.
  • Templates_and_Help — Reference guide with column definitions, formula explanations, and contact information for support.

Task_DescriptionText (Multiline)Detailed description of the task, including deliverables and success criteria.
Assigned_ToList (Dropdown)Name of researcher or team responsible. Predefined list from HR database.
PriorityText (Dropdown: High, Medium, Low)Risk and urgency assessment for task sequencing.

FORMULAS REQUIRED

  • =IF(TODAY()>[Due_Date], IF([Status]<>"Completed", "OVERDUE", ""), "") — Flags overdue tasks.
  • =COUNTIFS([Status],"Completed")/COUNTA([Task_ID]) — Calculates overall quarterly completion rate for dashboard.
  • =IFERROR(VLOOKUP([Dependencies], [Task_List], 8, FALSE), "Pending") — Checks if dependencies are completed before allowing progress.
  • =TEXTJOIN(", ", TRUE, IF([Assigned_To]=[@[Assigned_To]], [Task_ID], "")) — Lists all tasks assigned to a single researcher (used in Resource Summary).
  • =DATEDIF([Start_Date],[Due_Date],"d") — Calculates total duration for planning purposes.

CONDITIONAL FORMATTING

  • Overdue Tasks: Red fill if Status ≠ "Completed" and Due Date is past.
  • High Priority: Orange border around cells in the Priority column when set to "High".
  • Completion Percentage: Color scale (green → yellow → red) applied to Completion_Percentage column.
  • Status Column: Green fill for “Completed”, gray for “On Hold”, blue for “In Progress”.

INSTRUCTIONS FOR THE USER

How to Use This Template:

  1. At the beginning of each quarter, populate the Task_List with all planned research activities based on your quarterly roadmap.
  2. Assign tasks using the dropdowns. Do not manually type names — use only predefined values.
  3. Update Status and Completion_Percentage at least once per week. Use the Status_Updates sheet for narrative notes.
  4. Check Project_Summary daily for red flags (overdue items, bottlenecks).
  5. If a task is delayed beyond its due date, update the Due_Date and add a comment in the Notes column.
  6. Do not delete rows — archive completed tasks by changing Status to "Archived" and filtering them out on the dashboard.
