FORMULAS REQUIRED
- In the Inventory Log, “Quantity Used” is calculated via VLOOKUP to sum all usages per Project ID across the Research Projects sheet.
- “Days Since Acquisition” = TODAY() - [Acquisition Date] — used to flag items older than 180 days (for maintenance alerts).
- “Inventory Value” = Quantity * Unit Cost (if Unit Cost is added manually in Settings).
- Dashboard KPIs use SUMIFS and COUNTIFS to calculate: Total Items, Items On Loan, High Criticality Items, Project Inventory Spend.
CONDITIONAL FORMATTING
- Red highlight: For items with “Status” = “Damaged” or “Disposal Needed.”
- Yellow highlight: When quantity ≤ 5 AND Criticality Level = "High."
- Purple highlight: Items not updated in the last 30 days (Last Updated +30 < TODAY()).
- Green glow: Projects marked “Active” and linked to inventory with >80% utilization.
USER INSTRUCTIONS
- Startup Tip: Do not create duplicate items. Always search before adding new entries — reuse existing IDs when possible.
- Use Drop-downs: Only select from predefined lists to maintain data integrity.
- Date Entry: Use the calendar picker (Data Validation → Date) to prevent typos.
- Update Weekly: Assign one team member as Inventory Officer for weekly check-ins. Use the “Refresh Status” button on Dashboards sheet.
- Linking Projects: Always assign a Project ID to each item used in research — this enables cost tracking and grant compliance.
- Don’t Delete Rows: Instead, change Status to “Disposed.” Historical data is vital for audit trails.
