Conditional Formatting Rules
- If Variance > 10% of Budgeted Amount → Cell background turns red.
- If Variance < -10% of Budgeted Amount → Cell background turns yellow.
- If % Utilized ≥ 90% in Project Allocation → Row highlighted in light orange with bold text.
- Status = “Over Budget” → Text color: red, bold.
Instructions for the User
This template is designed for use by project managers who update the Detailed Expense Log weekly and share it securely with clients. Clients do not need to edit any fields—they are strictly viewers. To maintain accuracy:
- Each Monday, update the “Actual Amount” column for all expenses from the prior week.
- Ensure “Research Project ID” matches internal records for audit trail consistency.
- Do not modify formulas or protected cells—these are locked to preserve integrity.
- Use only the dropdown menus in “Expense Category” and “Status” to avoid data inconsistencies.
- Save as a .xlsx file (not .xls) and encrypt with password before sending to clients if required by data policies.
